Responsibilities

  • Chart preparation including, but not limited to: Reviewing the EMR; Calling patients to determine where previous imaging/breast care was performed; requesting medical records, CDs, images from non-Allina care facilities; scanning records; ensuring chart prep checklist is complete prior to appointments

  • Read patients' electronic medical record (EMR) in Excellian, CareEverwhere, HIE connect and others and required to search for pertinent information in order to compile patient records for Piper Breast Center clinic consults/visits

  • Scan and index outside medical records accurately into Excellian EMR

  • Provide hospitality services: Greet patients/visitors, offer refreshments and escort to imaging or clinic areas, and other areas of the hospital as directed, such as lab, radiology, MRI/CT and preop

  • Provide patient care support and clinic assistance as instructed by the physician, provider, RN, and LPN

  • Film management as directed upload CDs, digitally retrieve and push images electronically

  • Assist with patient scheduling, mail materials to patients, place reminder calls

  • Provide clerical support: Answer phones, take messages, fax, scan, file, prepare and mail patient reminder letters, order supplies (office, nutrition, medical, patient education, clinic forms, etc), maintain reports

  • Ensure exam and imaging rooms are adequately stocked with supplies, linen, educational materials, equipment/supplies, gloves, disinfectant wipes, etc.

  • Prepare clinic exam and procedure rooms: Disinfect surfaces with antibacterial wipes, gather and empty soiled linens, restock linens, return equipment, management of contaminated equipment

  • Transport specimens to lab as necessary

  • Process ROI requests as directed following HIPPA guidelines and patient confidentiality

  • Maintain waiting room 'hospitality station' with coffee/tea/cups/supplies

  • Deliver and maintain excellent customer service and communication skills

  • Actively engage in team communication, meetings, huddles or other activities

  • Participate as a team member within the department to create a cohesive work environment

  • Perform other duties as assigned

Education

  • HS diploma or equivalent (GED)
