POSITION SUMMARY:

The Clinical Supervisor / Assistant Director for the Child Protection Team is responsible for: Clinical Supervision of licensed nursing, social work and counseling staff, case coordination trainees as well as operational aspects of programmatic compliance, academic, fiscal, purchasing, payroll, HR Support and liaising with the Department of Pediatrics Human Resources to support administration of Child Protection Team Program and Other related programs within the Department of Pediatrics.

The Clinical Supervisor/Assistant Director will work as part of the administrative team within the Child Protection Team and the Department of Pediatrics.

This position reports to the Division Chief of General Pediatrics, Medical Director of Child Protection Team and the Department of Pediatrics Department Administrator. The Clinical Supervisor/Assistant Director position receives limited supervision and is delegated considerable freedom to determine how best to meet the programmatic and administrative requirements for the area.

The Assistant Director must determine how to fulfill the administration of programmatic, academic, fiscal, human resources, purchasing, payroll support, HR support and Departmental Liaison activities coordinating with Department of Pediatrics and the Child Protection Team Administrative Staff to meet ongoing and emergent priorities. This position operates under regular deadline pressure in order to meet operational and program reporting requirements. To fulfill the job responsibilities, employees assigned to this class title must be able to do inquiries, queries, standard and modified reports from university systems such as OASIS, FAST, and GEMS, and must be able to produce documents using word processing, spreadsheet, and presentation software.

RESPONSIBILITIES:

  • Coordinate with Division Chief/Medical Director/Department Fiscal Administration related to required compliance reporting for contracts.

  • Once completed by administrative team, finalize full clinical and call schedule in conjunction with administrative team, publish to DCF, Department, TGH ER, ICU, Inpatient units, St. Joseph's Hospital ER, ICU and Hospitalists.

  • Monitor and report USF CPT leave and attendance activities to the Division Chief/Medical Director and Department administration. Complete quarterly leave audit to ensure all leave is entered correctly. Work with Administrative Team to complete quarterly review of leave and attendance for review by Medical Director.

  • Reviews and ensures accuracy of submitted timesheets for programs requiring such documentation. Serves as the local point of contact on payroll and staff coverage issues.

  • With Administrative Secretary, develop and maintain a list of clinic supplies, office equipment/computers and update the Department of Pediatrics Administration, Department of Health or other funders, when requested and coordinate with Department of Pediatrics Administration related to purchase and equipment maintenance.

  • With Senior ARNP, develop and maintain a list of office medical supplies and medications including log to track use. Coordinate with Department of Pediatrics, Department of Health and Other agencies as needed to purchase and track medication and supply use.

  • Coordinate with Medical Director/Division Chief; Department of Pediatrics Billing (RCO) and Senior ARNP to monitor/track productivity, charges from all sites and work with administrative team to improve submission/tracking of billing.

  • Work with Office Secretary to coordinate training for staff related to EPIC Registration process. Develop and Maintain registration process through EPIC for the following sites: Hillsborough, Polk/Hardee/Highlands, Outside Hospital Evaluations and other sites as required.

  • Coordinate with Licensed Professional staff (ARNP's, MD?s, RN?s, LCSW) and USF Department of Pediatrics related to credentialing, travel, monitoring/tracking of required continuing education for Department of Health and VOCA.

  • Supports employment administration and human resources processes, serving as a point of contact with the central HR department. Administers appointment paperwork requirements for faculty, staff, and student employees. Fulfills administrative requirements for faculty and other searches within area of responsibility.

  • Arranges and coordinates travel for department staff, faculty, and incoming guests and speakers.

  • Assists Clinical Staff in preparing and coordinating required community trainings related to Child Maltreatment.

  • Prepares special spreadsheet reports and presentations as needed. May prepare brochures or web site content for communication within USF and/or to external audiences.

  • Performs other office administration duties as required to support the mission and function of the area of responsibility.

  • Responsible for ensuring coordination of service referrals received from Department of Children and Family Services, Law Enforcement or Other Community Agencies related to children with possible Child Maltreatment. (5%)

  • Serves as or designates Community Liaison with agencies involved in the assessment, investigation and intervention for children experiencing alleged maltreatment. To include: Department of Children and Family Services, Child Advocacy Center, State Attorney's Office, DCF Case Management, Crisis Center, ME Office, Healthy Start, Healthy Families and Early Steps. (5%)

  • Ensure that Department of Children and Family Services Abuse reports are reviewed by both Medical Staff and Case Coordinator staff within 4 days of report receipt. (10%)

  • Respond to cases of alleged child maltreatment, conduct assessments using established evaluation and intervention techniques, including: initial risk assessment, child and family assessment, parent decision capacity, child capacity to communicate or verbalize related to events leading to referral, safety recommendations and intervention recommendations. Coordinate case information and communicate with investigating and intervention agencies to provide details of team assessment and recommendations.Coordinate records retrieval from medical/health providers and hospitals for Medical Staff Review.

    Coordinate multidisciplinary staffing meetings between agencies to address case progress, recommendations. Documents all information in relevant assessment formats, case progress notes. Ensures that assessment, safety planning, recommended referrals and intervention plans are communicated to appropriate agencies including: DCF, Law Enforcement, State Attorney, treating providers. (30%)

  • Provide clinical supervision and quality review for Case Coordinators related to case assessment documentation, clinical care including risk and safety assessment/recommendations, communication of recommendations and adherence to timelines.

  • Holds clinical meetings for case review with staff at regular intervals. (5%)

  • Supervises multidisciplinary team staffing meetings. (5%)

POSITION QUALIFICATIONS:

MINIMUM:

This position requires a Bachelor's degree from a regionally accredited institution with a minimum of four years related exempt experience, including two years of supervisory experience.

FLSB1310 equivalency:

Four years of directly related experience can be substituted for a Bachelor's degree.

PREFERRED:

License in clinical social work or licensed mental health counseling. Master's Degree in Clinical Social work. At least two years of applicable experience in the field of child maltreatment, family systems and child/family assessment-intervention.
