The Clinical Administrative Assistant is to assist in the efficient operation of the clinical program areas by providing the highest level of administrative support for the Chief Clinical Officer (CCO), clinical leadership and staff.
ESSENTIAL JOB FUNCTIONS:
Provide a high level of administrative support primarily to the Chief Clinical Officer (CCO), other clinical leadership and the clinical team.
Coordinate, compose, edit, and manage correspondence via e-mail and mailings.Includes but is not limited to letters, memos, contracts, proposals, presentations, forms, etc.
Track credit card expenditures and invoices for CCO.
Proactive calendar management for CCO and team.
Responds to emails and creates communications/correspondence/documentation/presentations.
Schedules appointments, conference calls and advance preparation of required meeting materials, and conference room reservations as needed.
Serve as Project Coordinator on occasion.Must be able to plan, coordinate and disseminate information on behalf of CCO.
Provide phone and email management for CCO and keep updated.
Coordinate seminar trainings / business travel accommodations for CCO and management team as required.
Assist or lead special projects for the clinical team and other program areas.
Coordinate departmental on-boarding schedules for new hires as needed.
Coordinate utilization of outside contract work when necessary to support the clinical and hospice staff.
Management of Luther Manor's campus calendar including scheduling of meeting rooms.
Handle or maintain manuals or electronic files, copying, printing, and documents routing as needed.
Occasionally manage special events by coordinating, preparing and posting announcements, sending information via e-mail, managing catering, set-up, etc.
Use time management/administrative skills effectively with quick turn-around of written and oral communication needs arise.
Provide administrative support to the Care Transitions Team lead by the CCO.
As needed serve as liaison on behalf of CCO between campus program areas as well as external stakeholders (i.e. business/community entities, vendors, state surveyors, etc.).
Follows State and Federal Regulations as outlined in the Employee Handbook, Nursing Department Policy and Procedure Manuals, Human Resources Manual, and Resident Bill of Rights, and adheres to safety rules.
Responsible for the management and coordination of the Weekend Manager Program.
Represent the Clinical team in a professional, positive, and energetic manner.
Encourages and models team approach to accomplish the Luther Manor mission of providing excellent care and services to customers.
Attends all Luther Manor mandatory in-services and staff meetings.
Perform other duties, responsibilities, or special projects as assigned and as needed.
At least 3 years of experience providing administrative support at an executive level.
Associate's Degree required; Bachelor's Degree preferred.
Proficient with Gmail/Calendaring and MS: (Word/Excel/PowerPoint).
Maintain a high level of integrity, extreme discretion and confidentiality due to the nature of shared information as it pertains to staff, residents and volunteers.
Must have the ability to foster and promote effective relationships with the nursing staff and other departments/program areas in the facility.
Professional communication skills (both written and oral).
Project Management / Strong organizational skills.
Great attention to detail and accuracy.
Must be self-motivated with the ability to work independently and with teams.
Must be able to multi-task, prioritize and meet deadlines while working in an environment with frequent interruptions.
Must be willing to learn new software programs.
Excellent interpersonal skills.
