Job Summary:

The Supervisor provides administrative support to day-to-day operations within assigned clinic/department by using critical thinking skills to make a variety of decisions.

Major Responsibilities / Duties / Critical Tasks:

  • Supervises front end staff by communicating, training and displaying the kind of work example others wish to follow which enables the office to function effectively and efficiently while communicating closely with the Practice Administrator.

  • Oversees front end delivery to patients and ensures patient experience exceeds expectations.

  • Responsible for ensuring clerical office duties are met. These duties include document processing, record keeping, report compilation of confidential patient data, epic registration work queues, and supply ordering in an organized and efficient manner to meet the appropriate needs of the office.

  • Responsible for monitoring front end registration workflows to ensure mistakes are minimal so claims can be processed without disruption. Ability to identify weaknesses in processes that contribute to these disruptions.

  • Responsible for scheduling surgeries for assigned surgeons in the clinic. Ensures patients and providers are communicated with regarding surgeries so that experiences exceed expectations.

  • Uses telecommunications and information systems to answer phone and greet customers politely and professionally and takes requests by phone or PC and processed appropriately to ensure continuous workflow.

  • Performs other duties as assigned.

Required Education / Experience:

  • High school diploma or GED required. Undergraduate preferred.

  • Minimum 2 - 4 years' experience preferred.

  • Supervisory experience preferred.

  • Must have strong background in ICD9 and CPT coding and all insurance plan types (HMO, PPO, Managed Care, Medicare, Medicaid, and commercial insurances).
