Description

Purpose of Job

This position is responsible for creating a positive first impression to patients, the complete and accurate registration and scheduling for patients and various administrative duties. In addition, is responsible for answering basic insurance questions from patients.

Job Functions

  • Performs basic receptionist duties to include answering and returning phone calls, retrieving voicemail and maintaining department office equipment and supplies.

  • Greets and provides courteous customer service to internal and external customers.

  • Assures accurate processing of patient registration and scheduling.

  • Scans, files and posts documents into patient charts.

  • Assures reimbursement through basic insurance processing tasks.

  • Monitors petty cash.

  • Coordinates requests for release of medical information.

  • Performs other duties as assigned.

Clinics Only

When functioning as a Clinic Specialist may be required to complete one or more of the following:

  • Assist with new employee department/clinic orientation.

  • Assist the Clinic Manager with meetings, meeting minutes and projects.

  • Facilitate order and inventory processes for the clinic.

  • Receive or deliver communication on behalf of Clinic Manager.

  • Serve as a resource to clinic staff in the absence of the Clinic Manager.

Minimum Requirements

Employment Requirements

Minimum Education/Work Experience/License/Certifications

  • High school graduate or equivalent

  • One year of medical office experience or completion of Medical Administrative Assistant/Medical Receptionist Certificate.

Knowledge/Skills/Abilities

  • Knowledge of basic computer functions and Microsoft Office applications

  • Ability to perform basic math functions and count money

  • Ability to respond appropriately to unpredictable situations and diverse patient populations

  • Ability to work autonomously and as a team

  • Knowledge of medical terminology

  • Basic knowledge of insurance information

  • Ability to multi-task

  • Ability to communicate in the English language for effective written and verbal correspondence in order to complete job functions as mentioned above

Preferred Qualifications

  • Previous electronic medical software experience

Job Functions When performing nursing support functions * Escorts patients to examination room and obtains vitals and documents in EMR * Administers prescribed medications and treatments in accordance with clinic policies and scope of certification/licensure * Prepares equipment and assists providers during examination, testing and treatment of patients * Prepare patients for examination or treatment as customary per procedure. * Sets up and assists with minor procedures as necessary and directed. Observe sterile technique and maintain sterile field during procedures. * Manages nurse visits – catheter changes, vaccine administration, holter placements, etc. * Performs room turn over in patient rooms between cases and at the end of day * Assists in arranging referrals/prior authorizations as necessary * Assists with patient education * Cleans and prepares instruments and equipment for sterilization. * Performs other duties as assigned When performing Lab, Admissions and/or X-ray functions * Maintains stocked supplies and inventory * Performs testing procedures as required * Prepares procedure room/area and instructs patients * Troubleshoots and maintains equipment * Completes daily QA/QC procedures and provides maintenance/adjustments to equipment * Performs other duties as assigned * Completes patient registration, patient scheduling, and other patient flow functions. * Promptly answers a multi-line switchboard in a courteous manner and accurately transfers calls to the appropriate department or extension. * Assists in the daily processing of taking payments and accurately totaling daily charge logs. * Transmits and distributes faxes. * Manages consults to outside providers and calls patients with follow up appointments.
