Job purpose

  • Responsible for greeting patients and visitors, answering phones and scheduling appointments in a professional and timely manner

  • Accurately maintains patient records and accounts while communicating with insurance companies

  • Ordering Office Supplies

  • Additional Administrative duties to perform as needed

Duties and responsibilities

  • Arrives to work on time

  • Maintains a positive attitude

  • Ensure safety of all patients

  • Process all referrals in a timely basis

  • Schedule appointments for patients in a timely manner

  • Answer all incoming calls and properly route calls

  • Effectively communicate with insurance companies to verify patient insurance

  • Effectively communicate with insurance to process and obtain authorization for patient treatments

  • Accurately and efficiently maintain and update all patient files, records and documents

  • Accurately document all patient updates in a timely manner

  • Responsible for scanning, faxing and emailing documents as needed

  • Order and maintain office supplies as needed

  • Accurately update patient tracking boards in a timely manner

  • Update weekly reports as required and distribute accordingly

  • Accurately communicate with other co-workers regarding patient / physician office updates and / or concerns

  • Interact and collaborate effectively with co-workers

  • Understand and follow work rules and procedures

  • Maintain a professional and tidy appearance at all times

  • Maintain a professional and polite demeanor with all patients

  • Comply with all patient privacy and HIPAA rules

  • Take direction from all members of management

Qualifications

  • Must have a positive demeanor

  • Must have 2 years of office administrative experience in a medical setting

  • Must have experience with Insurance Verifications and Authorizations

  • Must have medical office experience

  • Bi-lingual in Spanish preferred

Establish and maintain positive working relationships with potential referral sources as well as Cook Children#s medical staff and departments. Complies with all financial, regulatory and legal guidelines associated with referral development. Education/Experience: Minimum Bachelor#s Degree in Science of Nursing, Business, Healthcare Administration or Communications. Associates Degree in Nursing may be accepted with clinical management experience. At least 3 years of clinical nurse experience, healthcare referral development, physician recruiting or direct sales to adult and/or pediatric physicians. Must be proficient with PC systems and have a high level of understanding and utilization of CRM tools, Microsoft Word, Excel and Power Point. Acceptable driving record is required. Position demands frequent and possible overnight travel, including some weekends.
