CLINIC COORDINATOR

SALARY: $ 27,144.00 per year

SECTION I-JOB DESCRIPTION

SUMMARY:

Under the supervision of the Clinical Services Program Director or designee. The Clinic Coordinator will oversee the clerical department of his/her clinic. Work involves assigning/scheduling the clerical staff work. Also will assist with the orientation, teaching and supervision of clinic personnel to assist in the delivery of health care.

ESSENTIAL FUNCTIONS:

  • Employee will accurately document all time worked.

  • Coordinates clinic services consistent with established Cameron County Public Health Policies and Procedures, Clinical Services Program Policies and Procedures, Standing Delegation Orders and Protocols.

  • Ensures that orientation/training is provided to all new and existing staff to guarantee that daily procedures may be carried out.

  • Assures that staff competency has been verified by the Licensed Vocational Nurses, Registered Nurse, Advanced Nurse Practitioner or Medical Doctor, as is needed to perform their duties.

  • Oversees that staff demonstrates professionalism with patients and acts in a courteous manner.

  • Ensures that services are being scheduled and provided as is required by each designated program.

  • Reviews and approves all requisitions for office and medical supplies that are ordered for the clinic. Ensures that requisitions are submitted by the specified deadline each month.

  • Ensures staff prepares records for each program and maintains medical records in correct and orderly format with appropriate medical documents and progress notes as necessary for clinic sessions.

  • Designates staff responsible for data entry on patients in for Family Planning, Prenatal, Child Health and Immunizations.

  • Coordinates the transfer of records to other clinics within the department.

  • Ensures that all abnormal results are routed to the LVN/RN/ANP/MD, as appropriate, with proper follow-up.

  • Reviewing all out going correspondence for completeness such as correct titles, number of copies, etc.

  • Responsible for checking the accuracy and promptness of monthly reports.

  • Responsible for posting and distributing all incoming memos, reports and notifications to appropriate staff.

  • Keeps daily attendance and absence records on all employees as well as verifies and approves leave requests for employees.

  • Responsible for obtaining timesheets for employees and turning them in to main office in a timely manner.

  • Ensures that staff is appropriately notified and informed of new office records, reports and procedures as is needed for services and clinic functions.

  • Responsible for data entry of patients in for Family Planning, Prenatal, Child Health and Immunizations.

  • Responsible for performing yearly performance evaluations for all assigned employees.

  • Ensures that staff is maintaining CEU hours and trainings as is required by their scope of practice, license or certification.

  • Conducts visual checks of clinic site to ensure services are being upheld in an appropriate manner and that there isn't anything impairing the quality of services provided.

  • Monitors clinical services and performance by participating in Quality Management activities and collaborating to continue improvement in services provided.

  • Acts as a leader with respect to professional and clinical issues.

  • Other duties as assigned.

SECTION II-JOB REQUIREMENTS

EDUCATION AND EXPERIENCE:

Graduate from an accredited school of Medical Assistant and maintain current certification and two (2) years' experience in a clinical setting and at least (2) two years of experience in a supervisory or management position.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of general office duties (filing, posting, telephone etiquette). Knowledge of computer operation and software (Excel, Word, etc.). Knowledge of spelling, grammar, mathematics, automated equipment and office practices and procedures. Ability to travel to other clinic sites. Ability to work with others as a team member. Ability to understand and follow oral and written instructions. Ability to delegate work appropriately to clerks and other direct reports. Ability to fairly and accurately evaluate employee performance. Ability to effectively discipline employees when needed. Ability to communicate frequently and with main office personnel.

SPECIAL REQUIREMENTS:

Must have a valid Texas Driver's License, comply with State of Texas Driving Laws, and maintain an acceptable driving record. Must have reliable transportation. Employees of Cameron County may be required to work during any natural disaster or emergency. Criminal background check is required for employment or continued employment.

PHYSICAL DEMANDS:

Good health and physical condition sufficient to permit full performance of the duties of the position. If additional assistance is required, employee must request assistance prior to performing the assignment.

SECTION III-JOB DIMENSIONS

CONTACTS:

EXTERNAL CONTACTS:

Occasional contact with other health, social, and educational care agencies, outside organizations. Frequent contact with clinic clientele. Communication is via telephone, written communication and face to face.

INTERNAL CONTACTS:

Utilizes tact when dealing with County employees, health, social and educational care providers, and clientele regarding operations issues. Constant contact with County Personnel. Communicating is primarily face-to-face, via telephone and through written communication.

RESPONSIBILITY:

Comply with Cameron County and Department of State Health Services rules/regulations and display a positive public image. As a Cameron County employee, the identity of every client shall be kept confidential except to the extent necessary to carry out the purpose of an investigation, hearing, or judicial proceeding.

DIFFICULTY:

Judgement is required to ensure completion of job activities as assigned by the Immediate Supervisor or designee. Uses discretion to achieve work goals. Initiative is constantly required to achieve work goals.

GUIDANCE:

As assigned by Immediate Supervisor or designee. It is the responsibility of the employee to know and maintain contact with their Immediate Supervisor or designee.

WORKING CONDITION:

Working conditions are primarily in a clinic, office, or community center.

This is not a Civil Service covered position.
