Client/Server Database Manager, Office of Public Interest & Community Service Georgetown University Law Center

Created in 1996, Georgetown Law's Office of Public Interest and Community Service (OPICS) is the hub of the public interest community at Georgetown. In addition to coordinating many of the Law Center's public interest programs, OPICS is the primary career office for students interested in exploring public interest and government legal opportunities. The office also administers the Law Center's extensive pro bono program, which encourages and facilitates pro bono legal service by students and other members of the Law Center community. Through our myriad services and activities, OPICS seeks to foster in all law students a commitment to service that will continue through their legal careers.

The Client/Server Database Manager oversees technology and all legal recruitment programs involving government and public interest employers, as well as resume collections; database maintenance for Symplicity (on line recruitment and job listing database) and Tracker (student and alumni tracking software): the EJF database (Access database of donors to and recipients of student public interest summer fellowships), and PILS applications (Excel spreadsheet of all applications to public interest scholarship program); development and maintenance of OPICS website; maintenance and enhancement of public interest alumni network/mentoring system, and supervision of the Executive Assistant. Reporting to the X, the Client/Server Database Manager has duties that include but are not limited to:

Management of All Legal Recruitment Programs

  • Serves as primary liaison to employers, including overseeing employer registrations for recruitment programs, maintaining employer and student databases, scheduling interviews, and answering technical questions.

  • Communicates regularly with employer representatives, such as attorneys, hiring personnel, and administrative staffs.

  • With Director of Public Interest Careers and Government Counselor, oversees student registration for example, liaising with students about uploading resumes and cover letters onto Symplicity, scheduling interviews, answering technical questions, and making presentations.

  • Maintains and updates Symplicity as needed.

  • Oversees Symplicity job postings database for government and public interest employers

  • Supervises student assistants and the Executive Assistant.

  • Conducts ad-hoc resume collections for employers.

Currency of Student and Alumni Tracking Systems

  • Works with Registrar, 1ST, and OCS, to coordinate migration of student information from SIS to Symplicity and Tracker.

  • Updates student information with information on pro bono hours, summer funding, and summer and post-graduate employment.

  • Updates employer contact information, such as addresses, recruitment coordinator, and former GULC interns.

  • Develops and runs reports on student employment history, employer hiring history, and student pro bone activity.

  • With OCS, designs and implements upgrades of database as determined by OCS and OPICS needs.

Maintenance and Expansion of Employer Database

  • Assists with expansion of alumni tracking in Symplicity.

  • Trains new counselors and staff members in the use of Symplicity and Tracker.

Administration of OPICS Website

  • Ensures that information about career and pro bono programs is current and accurate

  • With Assistant Dean, Director of Pro Bono Programs, and public interest and government counselors, assesses web content and updates accordingly.

  • Answers questions from staff, students, and employers about web contents.

Enhancement of Public Interest Alumni Network

  • Downloads alumni forms from web and enters into alumni network binder.

  • Conducts outreach to alumni for inclusion in network.

  • Contacts alumni annually for updates to network information.

  • Creates, as feasible, online interface for students and alumni to search network and for alumni to update information online.

  • Runs reports on alumni and student usage of network.

Requirements

  • Bachelor's degree

  • 3 to 6 years of legal recruitment and/or technical assistance experience

  • Experience with public interest and/or government employers

  • Excellent verbal and written communication skills

  • Team orientation oriented with ability to function independently and to interact with a range of constituents (students, alumni, employers, and colleagues)

Preferred qualifications

  • Database and website design/maintenance experience

  • Knowledge of Microsoft Word and Excel

  • Knowledge of Symplicity ACCESS. Contribute, and/or PageMaker

The Director of Law Donor Relations is responsible for the design and implementation of a comprehensive stewardship plan with management areas that include gift processing, pledge reminders, donor acknowledgements, general donor correspondence; donor progress reports on endowed chairs, professorships, and scholarships; endowed and current-use funds for academic programming; and special events for cultivation and stewardship purposes. Reporting to the Executive Director of Development (Law Center) and managing two Donor Relations staff members, the Director has duties that include but are not limited to: Strategic Plan * Designs and implements a strategic plan that will bring the highest quality stewardship to Law Center donors, foster goodwill towards the institution, and generate on-going financial support. * Ensures accurate and timely gift processing and interact with donors to resolve gift accounting issues. * Ensures accurate, timely, and appropriate gift acknowledgement. * Ensures accurate and timely distribution of pledge reminders. * Ensures accurate and timely reporting of scholarship fund activity to donors. * Ensures accurate descriptions of endowed scholarship funds in all Law Center Reporting. * Fosters stewardship interaction between the Law Center's top donors, and the faculty members and administrators holding endowed chairs and professorship or engaged in programmatic efforts receiving philanthropic support via named Centers, Institutes or Program Funds. * Selects and delivers appropriate gifts/recognition vehicles for major gift donors mindful of department budget constraints. * Ensures timely distribution of holiday cards to significant prospects/donors. Supervision and Team Development * Effectively supervises all direct reports and help create a "team" mentality within the Law Advancement Office to encourage cooperation and respect, and to develop and retain the department's best talent. * Oversees the work of direct reports so that tasks assigned to the Law Donor Relations team are accomplished in a timely and professional manner. * Completes evaluations for all direct reports in a timely manner as directed by University procedures. * Encourages Law Donor Relations staffers to avail themselves of professional development training. Donor Cultivation and Stewardship Events * Plans and executes events for donor cultivation and stewardship purposes to encourage new and repeat gifts to the Law Center. * Develops a strategic plan for all donor cultivation/stewardship events. * Selects appropriate venues, food/drinks, flowers, and other event equipment for donor relations events in a fiscally responsible manner. * Drafts appropriate guest lists, and creates and distributes invitations for all development events. Law Center Stewardship * Works with internal Law Center administrative offices and the Law Center's Communications staff to foster the Law Center's stewardship effort. * Works collaboratively with the Law Center's Financial Aid Office to ensure accurate pairing of financial aid recipients with appropriate scholarship funds. * Works collaboratively with the Law Center's Special Events Office to produce quality cultivation and stewardship events. * Works collaboratively with the Dean's Office to produce appropriate donor correspondence, event itineraries, and briefings. * Works collaboratively with the Law Center's Communications group to generate stewardship articles for various Law Center publications. Prospects Data * Enhances the University's data on prospects/donors for use by current and future development staff. * Completes "action" reports documenting contact with prospects/donors, including recordation of event invitations, event attendance, and stewardship visits. * Manages coding projects identifying VIPs, various volunteer board leaders, event invitees, scholarship donors, Hogan Society donors, and holiday card recipients. * Sends GU360 updates to Advancement for data entry. Law Center Stewardship Events * Works Office of Advancement (OA) staffers and representatives of the President's Office to foster the Law Center's stewardship effort. * Drafts timely and accurate briefings for the President's Office as required in support of Law Center events. * Works with Gift Accounting, Donor Relation, Communications, and Planned Giving on issues related to Law Center donors. * Prepares stewardship reports for OA staffers for inclusion in various University publications.
