The Client Support Coordinator is responsible for providing inside sales support for Document Solutions and for providing quality services and solutions support to our clients while maintaining a high level of client satisfaction.

Main Responsibilities:

  • Perform sales support activities transparent to the client including but not limited to product inquiry, order status, pricing and quoting and preparing proposals

  • Answer client inquiries from phone, fax, email and mail

  • Create Business Account Reviews

  • Use system generated reports and create custom invoices and compile spreadsheets for clients

  • Maintain designated gross margin targets dictated by Sales Representatives

  • Assist with CRM entries for designated Sales Representatives

  • Work with key accounts on an independent basis

  • Support designated Sales Representatives as directed

  • Stay up-to-date with relevant product training and technology

  • Accurately maintain documentation and comply with administrative procedures in a timely basis to include time entry

Required Qualifications:

  • Associates degree (or equivalent) and up to 2 years of experience or equivalent experience

  • Proficiency with business collaboration tools such as a MS Office applications including a high level of Excel knowledge

  • Superior internal and external customer service and communication skills

  • Enthusiastic, dedicated to the challenge of helping other people

  • Strong attention to detail with the ability to maintain accurate and detailed reports

  • Ability to identify errors and make proper corrections

  • Excellent organizational and time/task management skills with the ability to prioritize tasks and work within a defined timeline and to operate with changing priorities

  • Function collaboratively as part of a fast-paced, client oriented department

  • Self-starter with the ability to perform with little or no supervision

  • Strong ability to exercise independent judgment

Major responsibilities will include the management of print and digital client deliverables, design and integration of the MMA brand, and the overall development of product and marketing material(s) that support the overall agency goals and strategies. Essential Functions: Client Communications * Develop a consistent approach to all material delivered throughout the risk management lifecycle utilize the MMA brand * Create and produce a variety of product and team deliverables to support the retention and development of current and new value add opportunities * Write, edit text, design and layout the materials for ease of client understanding * Identify creative approaches for communication with clients * Evaluate and implement new distribution methods and strategies * Utilize multiple distribution channels to assist the team and client in new and renewal materials to meet overall client and agency goals * Ensure digital channels are utilized effectively and efficiently, including but not limited to corporate web site(s) and social media channels. Ensure digital channels are kept up to date and relevant * Partner closely with MMA partners to leverage best practices, synergies and efficiencies of materials Project Management * Manage multiple projects and keep priorities aligned with client and internal team timelines and expectations * Communicate effectively around timelines, expectations and deliverables for all individuals within the client team * Identify opportunities to build collaboration amongst the client team in a way that maximizes time efficiency Partnership with Howalt+McDowell Team: * Drive and support agency and departmental goals for retention, upsell and new sales * Identify opportunities for efficiency and effectiveness improvements within department and agency * Demonstrate the Code of Conduct for the agency * Be a participant in maintaining a strong work environment and culture for team members * All other duties as assigned Desired Qualifications: * 2-3 years marketing and/or communications experience preferred * Bachelor's degree in related field required, including experience working on—ideally managing—marketing events and print and digital publications * Must be detail oriented with excellent organizational and time management skills * Experience working within a sales organization is preferred * Comfortable working with online and offline communications channels, and their integration * Good interpersonal skills and high sense of urgency * Ability to balance multiple priorities and objectives from varying sources and departments * Confident in own abilities yet comfortable taking and using criticism to improve work products * Continually looks for ways to improve processes and takes initiative * Excellent written and verbal communication * Ability to effectively build and maintain positive working relationships with employees, management and sales staff * Proficiency in MS office and Adobe design applications (InDesign, PhotoShop, Illustrator) preferred Work Environment and Physical Demands: Working conditions are normal for an office environment.
