The Client Services Coordinator is responsible for supporting 9Health's Manager of Client Services to accomplish departmental goals essential to 9Health's success. This position will assist the Manager of Client Services with all aspects of organizing and implementing the 9Health Fairs throughout the year. The Client Services Coordinator will assist in coordinating logistics and maintaining communication between 9Health Fair and all sites and providing leadership in coordinating excellent customer service to participants.Customer ServiceWe have a very small team responsible for answering and appropriately responding to calls and emails from participants who have experienced some extraordinary situation (either extraordinarily good, or disappointing in some respect) at one of our 100+ health fairs. The Client Services Coordinator is responsible for managing this process and may be required to answer calls from participants. Key responsibilities related to customer service include: o Answer phone calls directed to client services in a professional and responsive manner. o Manage the participant Inquiry process research and resolve participant inquiries in a timely manner and coordinate with internal and external partners (e.g., our contract laboratory) to ensure issues are resolved quickly and efficiently o Track issues and concerns received and provide reports to the Manager of Client services and others so that systemic issues can be resolved quickly. Follow established procedures for processing refunds and redraws. o Work with other office staff to process returned mail and/or non-deliverable reports o Other responsibilities as needed during peak fair seasons may include weekend and overtime work to support customer service for participants9Health Fair Site ManagementAnother key responsibility of the 9Health Client Services team is to ensure our volunteers, particularly site leaders, have the support they need to organize their fairs efficiently. The Client Services Coordinator is responsible for working with the Manager of Client Services and other staff to: o Organize and manage the submission information from volunteer site leaders that is necessary to organize the sites. This includes communication and follow-up with volunteer leaders, maintenance of site calendar and spreadsheets and distribution lists o Maintain and update site information database and generate custom reports as needed for staff and contract laboratory o Prepare contents, pack supplies such as Resource Guides and collateral and make shipping/delivery arrangements of packages to metro and statewide volunteer site leaders o Other responsibilities as needed during peak fair seasons may include weekend and overtime work to support site leadershipDepartment AdministrationCreate and revise department protocols for logistical operations as neededReview and update protocols and procedures between 9HF and contract laboratory as needed and manage those processes during fair seasonsManage the post-fair follow-up and reconciliation of ALL 9Health Fair sitesProvide support with processing refunds for all fairsMaintain currency of data and informationVolunteer ManagementOrganize and train volunteer groups to assist with various department tasks and projectsOther duties as assigned by the Manager of Client Services.Job Requirements
