The Client Services Coordinator is responsible for facilitating successful

implementation of contracted services to new or existing pharmaceutical,

biologic, medical device, dietary supplement and over-the-counter (OTC)

clients. In addition, the Coordinator will perform ongoing day-to-day tasks to

meet client needs and satisfaction with services, maintain distinctive quality

and commitment as the operating philosophy in carrying out all processes,

and continually seek out ways to enhance customer service experience

both internally and externally.

  • Assists with implementation of new services.

  • Assists with development and updating of Working Practices and other

client supporting documents alongside Client Managers or designee.

  • Schedules and attends routine client meetings, takes minutes, and

reports on project status.

  • Monitors client service agreements.

  • Performs monthly or ad hoc client reports as needed.

  • Ensures ProPharma Group databases is updated with relevant client

product information.

  • Performs ongoing day-to-day tasks including coordination of additional

services and ad hoc projects to meet client needs.

  • Uses problem solving skills to expeditiously address questions and

resolve issues.

  • Collaborates with internal multidisciplinary teams.

  • Updates and maintains relevant database and tracking systems utilized

by client services.

  • Assists with audit preparation- coordinate logistics, assist with document

requests, etc.

  • Coordinates Client Change Management Meetings.

  • Other duties as assigned

Minimum of one-year experience with a proven track record of success in contract, client or project management or medical information services.

Able to liaise efficiently with client companies to ensure client satisfaction with ProPharma Group services.

  • Proficient computer knowledge and computer keyboarding skills

  • Proficient with Microsoft Office Suite (Office, Word, Excel).

  • Exceptional customer service skills.

  • Excellent attention to detail.

  • Excellent verbal, written and interpersonal communication skills; able to

establish strong relationships with clients and internal staff.

  • Excellent organization and prioritization skills; able to multitask and

meet deadlines.

  • Ability to work independently and collaboratively with multidisciplinary

teams.

  • Flexibility to adapt and meet fluctuating business priorities.

  • Must work in a professional manner at all times, with clients, customers,

team members and management.

  • Must have a good working knowledge of, and comply with, the Standard

Operating Procedures of ProPharma Group.

  • Must comply with the Company's health and safety policies.

  • Ensuring the Confidentiality statements within the Contract of

Employment, Employee Handbook and HR Policies are adhered to at

all times in respect of the data and property of ProPharma Group, its

clients and employees of the business.

  • Minimal travel may be required.

  • Required: Customer service management experience.

  • Preferred: Business operations management experience.

  • Preferred: Pharmaceutical industry experience.

  • Preferred: Knowledge of health care, FDA and regulatory requirements.
