This position is responsible for providing basic administrative support to Comprehensive Health Services team members on a medical exam or drug screening program within Exam Management. Interacts daily with other CHS team members and provider network partners. Reports to either the Assistant Program Manager (APM) or Program Manager (PM).
DUTIES AND RESPONSIBILITIES:
Responds to prompts from Medical Exam Tracking System (MTS) and supporting software to process examinations from scheduling appointments, tracking progress, matching exams in the application and recording final status for billing.
Will assist in exam creation in the MTS application and supporting applications as needed.
Assembles the various components as exams are scheduled to include drug screen kits, phlebotomy kits, exam paperwork and instructions specific to the examination.
Maintains and orders supplies that constitute the exam kits (components, screening kits, exam paperwork) to support the activities of department Client Service Administrators (CSAs) and management.
Contacts examinee and facility to schedule requested examinations (varies by contract), will follow through with either party as needed.
Contacts providers regarding missing or incomplete examination results and /or missing components.
Performs courier-related activities within the department or throughout Exam
Management to include tracking and distribution of exam results to correct medical review personnel, etc.
Files, scans, and retrieves exam results to include laboratory, medical, and final determinations.
Escalates examination issues to the CSA, EPM, APM, or PM.
Demonstrates consistently thorough, professional, and gracious customer service (internal and external).
Assists in resolving facility or examinee issues and or questions.
Processes inbound and outbound phone calls, faxes, and mail.
Serve as back-up to the department for routine administrative duties, which may include; but not limited to documents, process flows, Quality assurance, as well as client schedule updates and maintenance. Maintenance of spreadsheets and other various forms and documents.
Other duties as assigned.
May participate in interdepartmental project groups or task forces to integrate activities, communicate issues, obtain approvals, resolve problems and maintain a specific level of knowledge pertaining to new developments, new task efforts, contract awards, and new policy requirements.
Performs duties in a safe manner.
Follows the corporate safety policy. Participates and supports safety meetings, training, and goals. Ensures safe operating conditions within an area of responsibility. Encourages co-workers to work safely. Identifies "close calls" and/or safety concerns to supervisory personnel. Maintains a clean and orderly work area.
Assists in the active implementation of company initiatives to ensure compliance with OSHA VPP, ISO, JCAHO, AAAHC, and other mandated regulations and standards.
May serve on the OSHA VPP, Safety, and Wellness Committees.
High School Diploma.
Basic knowledge of office equipment and word processing software required, including MS office products.
