This opportunity is for a person who is passionate about customer service and providing value to our clients. We are looking for an experienced candidate who enjoys wearing many hats and has a friendly, open personality. This position will be an integral part of a successful and collaborative team of professionals who are proactive and like to think beyond the task itself. This is a diverse job in a professional environment that includes the opportunity to work with various Relationship Managers and Team Leaders in order to support and fulfill a client needs. This role assists commercial and private banking clients with their banking services while cultivating relationships, anticipating future needs and suggesting appropriate bank products and services when applicable. The CSM is a trusted business professional, answering client questions promptly and effectively, suggesting expert solutions within the assigned realm; and seeking counsel from RMs as needed for solving unique or difficult client problems.

This candidate should have outstanding communication skills, both verbal and written as typical activities include handling inquiries by phone and in person, ensuring appropriate follow-up, and closure on regular daily tasks and other projects. The CSM must be extremely responsive, solving problems and completing all work in a timely and accurate manner, ensuring we maintain our high level of customer service and exceed expectations at all times. Due to the nature of our client base all matters should be handled in a sensitive and confidential manner. The CSM works closely with RMs to assure timely and accurate information is provided to them as well, and assists the team in meeting the overall goals of the region and bank.

The CSM will also work closely with other departments and peer CSMs to support client needs as well. Other duties include: maintaining orderly and accurate files on current and potential clients, making overdraft and other assigned decisions on customer accounts under assigned authority, opening new accounts, sending wires and assisting with credit card activities. From time to time there are other duties or special projects assigned by management.

Requirements

  • 5 years' client service work experience related to commercial and/or private banking preferred

  • College-level course work in Accounting, Finance, Business desired

  • Demonstrated competence in Microsoft Office Suite and comfortable working with and learning Bank operating systems

  • Outstanding verbal and written communication skills

  • Ability to prioritize assignments and handle multiple priorities while maintaining a high level of service to both internal and external clients.

Summary of Position The role of the Client Service Manager is to provide support to the Property Management, Hospitality Teams and Clients by delivering exceptional client service and effectively managing office. The role requires a client facing professional appearance and speaking manner at all times. A calm demeanor in the face of multi-tasking, high volume environment is a necessity to the success of the daily endeavors with clients and staff. The location is at 520 Pike Tower, supporting a Class A commercial office building in the heart of downtown Seattle. Work hours are M-F 8am-5pm. Punctuality and reliability are critical. Hospitality Responsibilities: * Put the tenant at the forefront of every decision. * Resolve Client complaints as appropriate to maintain a high level of Client satisfaction and quality with a sense of urgency. * Actively support property management staff in fostering lasting and effective relationships with a focus on client satisfaction * Work collaboratively with the property management, hospitality teams, engineers, experience ambassador and ZO. programming team to effectively manage the office and ZO. programming initiative. * Assist with ZO. event planning as needed. Financial / Operational Responsibilities: * Provide support to ensure smooth operations of the Property Management Office (PMO). * Manage the Client Service Coordinator (CSC) in their tasks, inclusive of maintaining an organized office. * Notify General Manager (GM)/Operations Manager (OM) of any repeat client issues or significant problems. * Process all invoices in a timely manner confirming charges against existing contracts, budget and proposals minimizing the manual accruals and reclasses. * Create and manage the monthly accrual process with oversight by the OM for presentation to the GM prior to submission to accounting. * Manage the close-out of work orders in the Angus work order system ensuring correct billing for services provided. * Create and maintain Client OT HVAC billable spreadsheet based on lease language. * Manage issuance of the monthly paperless rent statements inclusive of relevant back-up. * Annual budget input for all office expenses, work order income and expense at the guidance of the OM. * Manage the window cleaning by creating the schedule and coordinating cleaning access with our clients. * Oversee issuance of the monthly paperless rent statements inclusive of relevant back up. Respond to client account statement inquiries within a timely manner. * Prepare bi-annual operating expense prepayment and true-up tenant packages and send to clients. * Prepare personal property tax list annually for Accounting. * Work with Lease Administration to review abstracts, critical dates and expiration reports. * Assist with certain portions of annual budgeting such as client billable income/expenses, building office expenses, ZO. expenses, etc. * Prepare first draft of monthly executive summaries with operational information. * Maintain organized soft copy building files on the internal cloud-based server. * Oversee the building office files-organizing, labeling and filing as needed. * Follow-up with building vendors and contractors on daily service issues. * Manage procurement and accounting processes, such as issuance of RFP packages and contracts. * Maintain the client portal to ensure current building communication and procedures are available to our clients. * Maintain contacts in the LiveSafe notification system. Qualifications & Requirements: * Bachelor's degree required. * At least 1 to 3 years of experience in an administrative role. * Commercial real estate background preferred. * Must be able to work well in a fast-paced environment. * Comfortable representing Tishman Speyer's hospitality initiative. * Strong customer service skills - must have superior customer service approach to problem resolution. * Sufficient knowledge and ability to utilize the following software: Microsoft Office, Word, Excel, Outlook, PowerPoint. * Ability to effectively listen and respond to internal and external customers. * Ability to understand and communicate in English, verbally and in writing.
