Client Relations Associate

Reports to: Partners Department: Client Relations

National Immigration Law Firm is seeking a professional, friendly and outgoing individual to provide client services via telephone, e-mail and in person to schedule appointments and confirm appointments for clients requesting immigration services by the firm's attorneys. This is a professional law firm environment where client communication skills and follow up service are essential to the firm's practice and success. The team member must be positive, creative, and have a commitment to hard work.


  • Following up with, and scheduling appointments with prospective clients.

  • Setting consultation appointments for clients with the firm's attorneys.

  • Use of a CRM to manage client information and to make changes on client status in pipeline.

  • Ensure that correct codes are used for tracking client information.

  • Follow up on inbound internet inquiries on CRM.

  • Schedule meetings with legal assistants and/or attorneys for time-pressed matters.

  • Perform duties with client relations department where client contact is a prime responsibility.

  • Coordinate with legal assistants and attorneys in providing service to clients.

  • Maintain confidentiality of all client files.


Performs other related duties as assigned.


  • Performs routine duties where judgment is required when communicating with clients, legal assistants, attorneys, and intercompany personnel. Work is performed under defined and uniform procedures.


  • Equipment: Reasonable care and operation of standard office equipment such as telephones, computers, and furniture.

  • Business Contacts: Responsible for maintaining good client relations and contacts with other personnel including legal assistants, paralegals, members of other departments and offices of the firm.


  • Must have High School Diploma or equivalent, plus one year of customer service training.

  • Must be proficient in Spanish and English.

  • Must have typing skills, knowledge of office systems and CRM.

  • Previous background should include demonstrated ability to deal with clients.

  • Must be personable, well-spoken and have a polished and professional appearance.

  • Must have excellent writing, communication, organizational, and case management skills.

  • Must be able to execute all tasks within a fast-paced environment

  • Previous sales or administrative experience at a law firm or doctor's office preferred.

  • Experience with high volume inbound and outbound calls.

May originate their own administrative or operational related correspondence on accounts with the approval of the Financial Advisor. Handles telephone calls, requests for research reports and researches account problems. Establishes and maintains files to meet regulatory requirements, creating and producing reports and databases, establishes and maintains filing and record keeping necessary to support sales efforts. Provides knowledge and systems support to branch personnel and training for entrylevel assistants. Required Qualifications * 5+ years of financial services experience * Successfully completed FINRA Series 7 and 66 (or 63 and 65) exams to qualify for immediate registration (or FINRA recognized equivalents) Desired Qualifications * Strong client service skills * Strong attention to detail and accuracy skills * Effective organizational, multi tasking, and prioritizing skills * Good verbal, written, and interpersonal communication skills Job Expectations * Obtaining and/or maintaining appropriate Financial Industry Regulatory Authority (FINRA) license(s) is required for ongoing employment in this position.
