Basic Summary of Position:

Main Focus:

  • Day-to-day communication with facilities
  • Assists the Care Manager
  • Preparing for and organizing visits between Physicians and facilities
  • Ensuring accounts are accurately configured in Salesforce on an ongoing basis
  • Consistently updating patient lists with facilities
  • Verifying that progress notes are successfully sent in a timely manner
  • Customer Delight

Daily Tasks:

  • Triage incoming calls/emails/faxes
  • Initial/Maintenance Call (10 business days prior to visit)
  • Confirm next visit date and time
  • Confirm NDOS list was received
  • Inquire if any residents need to be added/removed
  • Ensure that visit doesn’t conflict with activity/outing
  • Confirm correct contact info/person
  • Inquire if any patients need to be assessed for DME
  • Ask for feedback
  • Follow up on prior requests/complaints
  • Update account configurations – NDOS correspondence, bed count, HPA, etc.
  • Report early warning signs to FRL
  • Visit Reminder Email – (2 business days prior to visit)
  • Send updated NDOS to provider/facility if recent referrals/discharges received
  • Remind provider of any requests/feedback/priority patients from initial call
  • Update late chart report
  • Verify progress notes were sent successfully (run report?)
  • Coordinate acute calls with provider and follow through to ensure completion
  • Upload consents/discharge lists/demographic paperwork

Knowledge, Skills, and Abilities:

Education: High School diploma or equivalent required. Some college experience preferred.

Experience: 1-2 years’ experience preferred, but willing to train.

Skills:

  • Ability to multitask
  • 60 WPM
  • Good phone presence/customer service skills
  • Experience with Salesforce preferred
  • Experience with EMR/HER preferred
  • Willing to work as a team
  • Self-starter
  • Critical thinking skills

The primary purpose for the position is to ensure that information in operations and finance systems is up-to-date and accurate. This position will also perform other administrative tasks including filing and copying. In addition to the Controller, this position interacts closely with: Staff accountants Human Resources staff Client Services coordinators All Staff within Corporation Qualifications: Superior attention to detail Excellent keystrokes per hour and excellent accuracy rate Results-oriented with strong computer skills (Excel, Word, databases, etc.) Thrive in a fast-paced environment Ability to learn software systems quickly Excellent communications skills Capacity to learn to prepare and distribute routine reports after instruction High school diploma or GED Previous payroll processing experience helpful but not required Responsibilities: Supports the finance, client services, and other staff by reviewing, editing, and ensuring the integrity of time-tracking and payroll-related data. Reviews timesheets and database and resolves errors to ensure integrity and accuracy of data. Inputs and reviews payroll manual adjustments into payroll system. Identifies problems with database management policies and procedures and provides input into their revision. Provides direction or assistance to users of information regarding data requirements and status of paperwork. Works with individuals throughout the organization to identify and implement process improvements. May assist in preparing and distributing reports. Performs related responsibilities as required. Reviews and corrects various information within the Central Reach, Paychex, and Google Docs. Performance Skills: Follow all AHSS policies and procedures. Work carefully with attention to detail. Display good organizational skills and utilize resources wisely. Recognize time as a valuable resource and manage time in an appropriate manner. Work independently. Demonstrate problem-prevention and problem resolution skills. Demonstrate good communication skills. Maintain confidentiality in all matters pertaining to clients, families, AHSS personnel, and others. AHSS absentee and tardiness procedures should be followed. Teamwork Skills: Display and encourage sensitivity to the needs of clients, families, co-workers and others. Treat others with consideration, courtesy, and respect. Perform duties willingly and with initiative: share necessary information with supervisor and team members and clarify information received from others.
