Reporting directly to the Sr. Vice President of Operations, The Client Administrator supports PCI Compliance project initiatives by coordinating projects between Engineers and Qualified Security Assessors. Direct Client Interface, and building relationships with key clients. This role has a significant component in defining security requirements and ensuring that all projects meet these requirements, or that exceptions and issues are noted and remediated as appropriate.


  • Provides direct support to the Engineers, QSAs and Clients to ensure timely delivery of reports and presentations.
  • Provide direct support to the Engineers, QSAs and Clients prior to, during and after all Specialized Security Services, Inc. services.
  • Act as a liaison between our Clients, Managers, and Associates to coordinate, finalize and communicate any scheduling requests.
  • Prepare required folders as needed based on Client Status Reports (CSR) and services being provided for each Client assigned.
  • Ensures the Engineer and QSA Folders with all necessary documents is given to Engineers/QSA as soon as possible but no later than the Friday before the Clients scheduled services.
  • Prepares and maintain the Administrative Folders.
  • Update Engineers and Management on any client changes.
  • Prepares Reports for presentations, follow QA Flow Chart to obtain approval of reports prior to presentation.
  • Provide updates for the Weekly Client Status Reports
  • Maintain weekly communication with Clients, providing support and answering any questions or concerns in a timely manner to enhance S3s relationship as the Clients security partner.
  • Perform Quality Assurance by performing spelling and grammar check of final Reports. Cleaning Up all documents to look clean and professional; and are in the S3 approved template
  • Respond to customers in a positive and timely manner.
  • Respond to concerns, questions and issues by maintaining direct and continuous contact with Clients.

The Senior Client Service Associate is responsible for understanding firm policies, procedures and digital capabilities that will allow them to interact with Financial Advisor teams as well as new and existing clients. DUTIES and RESPONSIBILITIES: * Maintain existing client relationships through the processing of client requests, resolving client inquiries, and making sure key client information and documentation is up to date * Conduct outreach to maintain strong relationships with client base and identify Firm services and solutions, such as digital, online access and cash management offerings, that support clients' needs * Onboard new client accounts, which includes the collection of required documentation and client information * Support the team's marketing strategy by maintaining marketing materials, including digital and social media platforms, and planning client events and seminars * Regularly seek opportunities to use firm resources for peer sharing and collaborating with Financial Advisors * Proactively participate in firm initiatives directed by local management Actively engage in available training and education programs to maintain current status on policies, procedures and risk awareness * Perform administrative duties that support Financial Advisors in daily business practices, including but not limited to, telephone coverage, business travel arrangements, coordination of client meetings, prepare travel & expense reports, and file & calendar maintenance Education and/or Experience * High School Diploma/Equivalency * College degree preferred * 5 or more years of industry experience preferred * Willingness to obtain Series 7, 63 and 65 or Series 7 and 66 Knowledge, Skills, and Abilities * Strong computer skills and knowledge of Microsoft Office products * Exceptional interpersonal and client service skills * Detail orientated with superior organizational skills * Team player with the ability to collaborate with others * Ability to work in a fast-paced, evolving environment Reports To * Complex Business Service Officer or Business Service Manager Morgan Stanley EOE committed to diversifying its workforce.
