Complete accurate and timely processing of client payroll and billing.

  • Review client payroll data for accuracy. This requires checking critical details such as accuracy of taxing locales and balancing figures from multiple databases.

  • Review client invoicing for accuracy. This requires checking critical details such as supporting payroll information.

  • Finalize payroll and print checks.

  • Finalize invoicing and print invoices.

  • Prepare packets for shipment to customers.

  • Assist with other functions within department such as invoicing and customer service.

  • Balance payroll and invoicing to accounting statement for accuracy.

  • Other duties as assigned.

  • Payrolls are completed within required banking time frames.

  • Payrolls are accurate.

  • Invoices are generated accurately and timely.

  • Packets are shipped properly and timely.

  • All duties are implemented in a manner to support company policies and procedures and enhance teamwork.

  • Timely and accurate completion of tasks is maintained in organized, effective, and positive manner.

Requirements

  • Associate's Degree in Accounting

  • Understanding of basic accounting principles including payroll, payroll taxes, A/P, A/R, and cash posting a plus.

Assist in keeping the integrity of the financials and provide appropriate accounting practices common for an insurance agency. Offer expertise in the field of insurance agency accounting and a quality of service that maintains long-term relationships both internally and externally. ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, the individual must be able to execute each essential duty satisfactorily. A large part of this position is transactional including data entry and/or uploading of data into our commission system. The select candidate will additionally handle more advanced responsibilities. * Disseminate appropriate needs and actions to keep financial records complete * Perform any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accurate accounting records * Assist with reviewing the accuracy of figures, calculations, and postings pertaining to transactions recorded by all Departments * Use independent judgment and discretion placing values on accounting functions and the Accounting Department * Assist with follow through on financial transactions necessary to ensure the financial integrity of accounts as directed. * Responsible for the process of depositing checks, retrieving commission statements, tracking commissions and identifying and following up on commission shortfalls/discrepancies (of material size). * Gather and enter payroll data and compensation entries in NFP payroll systems (UltiPro) on a bi-weekly basis, and as needed. Entire new hires, data changes, and terminations in systems. * Manage Accounts Receivable function for regional office. Duties include processing, tracking and following up on all receivables. * Invoice clients for payment as needed. * Act as liaison with NFP accounting staff regarding accruals, intercompany transfers, journal entries, etc. * Pay vendors and agency bill companies after verifying that invoicing is accurate and insured has paid. * Additional duties as assigned by management KNOWLEDGE, SKILLS, AND/OR ABILITIES: * Good written and verbal communication skills * Excellent mathematical skills * Self-confident to make sound independent decisions * Ability to successfully interact with a variety of people * Ability to use discretion as it relates to confidential company and client information * Willingness to adjust to changing needs * Must be able to use Internet, Microsoft Word and Excel and other office software * Must be able to use QuickBooks, SalesForce, Callidus, MIS, Lawson, and other accounting and payroll software * Must be able to read, analyze and reconcile financial reports * Excellent organizational skills * Good analytical and problem solving skills * Attention to detail * Ability to prioritize multiple tasks to meet deadlines * May be required to work overtime as necessary SUPERVISORY RESPONSIBILITIES: * None EDUCATION AND/OR EXPERIENCE: 4-year (Bachelor's) Degree in Accounting or other related field or equivalent combination of education and relevant work experience required * 1 – 3 years previous insurance agency experience preferred CERTIFICATES, LICENSES, REGISTRATION: * None PHYSICAL DEMAND: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
