The Bureau of Planning, Training, and Exercise and the Central Area Office are seeking a detail-oriented individual to support daily operations and bureau/office staff.

Work Hours:

8:00 AM - 4:00 PM

30 Minute Lunch

Monday - Friday

Position may serve in the CRCC and must be available to work irregular schedule when activated.

Telework is not available for this position.

Free parking is available for this position.

This position is subject to promotion provisions of a collective bargaining agreement or memorandum of understanding.

This position will work with both the Bureau of Planning, Training, and Exercise (BOPTE) and the Central Area Office (CAO). The position's main responsibilities are: (a) performance of activities associated with the administration of BOPTE and CAO, under supervision of the Bureau and Office Directors; (b) providing administrative assistance/guidance to County EMA offices with questions and inquiries regarding the state/county/local programs, fiscal/financial requirements, and reporting procedures associated with planning, training, exercise, and area office-related programs; (c) prepare and update operational manuals and office procedures for use by all bureau and area office employees, to include creating report forms, photocopying materials, creating and printing certificates and letters, etc; (d) processing county and local personnel actions/changes for appointment by the Governor; (e) maintaining various files and financial documentation of federal/state/county programs, as needed; (f) serve as timekeeper for BOPTE and CAO, keeping track of overtime approvals as required; (g) ability to use discretion and independent judgment in dispensing sensitive information which may be susceptible to misunderstanding or misuse; (h) other administrative duties as may be assigned by the bureau director; (i) emergency operational assignments.

If this sounds like you, we want you to join our Employee Relations team!As the administrative support for our Employee Relations Division, you will work closely with the Division Chief and Human Resource Analysts on a variety of tasks to keep the division running efficiently. In this position, you will handle sensitive and confidential material; maintaining confidentiality is of the utmost importance. You will coordinate the Supplemental Employment Compliance Program, which includes assisting the analysts by developing and maintaining standard correspondence files, reviewing requests to ensure proper completion and data submission, initiating follow-up communications with applicants to obtain needed information or clarification of information provided, making recommendations to analysts by drafting approval notices, and maintaining the electronic database. In addition, you will prepare routine correspondence related to administrative leave, approval of supplemental employment, Accelerated Grievance Procedure, and other Employee Relations matters. The administrative duties of this position include, but may not be limited to, the following: file maintenance (electronic and paper), scheduling meetings and coordinating conference rooms, maintaining the Division Chief's calendar, database maintenance, mail distribution, and providing customer service to incoming callers. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.Six months as a Clerk Typist 2, and educational development to the level of completion of high school; or One year of progressively complex clerical typing experience and completion of high school; or Six months of moderately complex clerical typing work and completion of a post high school business curriculum; or  Any equivalent experience and/or training which provided the required knowledge, skills, and abilities. Additional Requirements: Six (6) months of experience handling confidential HR related material and situations.
