GENERAL STATEMENT OF DUTIES:

Provide administrative/clerical support to a large number of professional staff. Duties may include the following:

  • Utilize Microsoft Office Applications - Word and Excel - with accuracy

  • Perform accurate typing, word processing and data entry

  • Maintain case archive process for the area office, filing, records management, archive submissions, and archive requests.

  • Track the data drive information used in case assignments and personnel management.

  • Perform Area Office closed records processing

  • Serve as back-up receptionist as needed. Greet clients and visitors; answer telephone calls; refer clients and visitors to appropriate department staff when needed.

  • Provide administrative /clerical support and projects as assigned

  • Provide routine information concerning agency office locations, programs and services.

  • Assist with processing mail and fax as necessary.

  • Maintain filing system.

  • Assist staff by entering information into the FamilyNet system including FamilyNet searches.

  • Assist social workers with Mass Health insurance claims.

  • Manage personal needs accounts on the area office level of Social Security and Title II payments.

  • Assist in the support of Director of Area as needed.

  • Other related duties as assigned.

PREFERRED QUALIFICATIONS:

  • Demonstrated ability in Microsoft Office Applications Word, Excel and Access Family Net, etc.

  • Ability to effectively handle complaints presented or referred to the Director.

  • Demonstrated ability to work with culturally diverse populations.

  • Demonstrated ability to maintain a professional demeanor in the public forum

  • Ability to plan, organize and carry through on office events.

  • Ability to carry out work activities with a minimum of direction.

  • Ability to establish systems to improve overall performance of all clerical functions.

  • Ability to organize and maintain filing systems.

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) and equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.*

  • Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

JOB DESCRIPTION: The essential nature of the role is that of a member of the senior management team in the area office. The position is involved with all aspects of daily activities of the clinical staff. Under the direction of the Director of Areas and Area Clinical Manager, provides supervision to social service supervisors and any other specialty positions as assigned. Supervision would include teaching, coaching, support and evaluation of the quality and effectiveness of the work. Provides leadership and clinical consultation to all levels of area staff. Performs case management activities such as assignment of cases and approval of transfers and closings. Oversees all clinical and case management activities of assigned units which may include but not be limited to screening/investigation activities, child removal decisions and process, permanency planning, and family resource support and management. Participates in the hiring and training of new employees. Actively participates in the professional growth and development of area staff. Helps to develop comprehensive quality assurance programs within the area office including participation in centralized initiatives. Collaborates with other state agencies and community organizations in the shared provision of services to clients. Participates in the development, monitoring and evaluation of the local system of care. Interprets and trains staff on agency policy, mission, and vision.
