Clerk II - Lone Pine

The Clerk II is responsible for maintaining an efficient and well-organized Unit Office. The Clerk II performs moderately complex secretarial work involving answering correspondence, distributing mail, maintaining records and filing and preparing routine reports.

The Clerk II functions as the Unit Receptionist and oversees the overall operation of the Unit office. Under the direction of the Unit Director, the Clerk II works under general supervision with moderate latitude for the use of initiative and independent judgement. Essential Job Functions:

Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

  • Effectively performs routine secretarial duties and serves as the Unit Receptionist.

  • Effectively ensures that the appropriate unit supplies and purchases are obtained utilizing state and local procedures and methods.

  • Maintains effective communication with Unit Director and acts as liaison between Unit Director and both unit staff and campus departments. Works harmoniously that result in a cohesive and productive work environment.

  • Completes all assigned documentation accurately and complies with annual training requirements.

Other duties as assigned including but not limited to actively participating and/or serving in a supporting role to meet the agency's obligation for disaster response and/or recovery or Continuity of operations (COOP) activation. Such participation may require an alternate shift assignments and/or pattern or location. Knowledge Skills Abilities:

Knowledge of business English, spelling, punctuation, arithmetic and office procedures.

Knowledge of data processing, calculator and other forms of electronic equipment.

Knowledge and use of personal computer and facility associated software.

Skilled in machine transcription to take and transcribe dictation, facsimile machine and telephone.

Able to: Organize files and maintain neat records, to work independently, to communicate by both orally and in writing. Registration or Licensure Requirements:

Position may be required to drive and require a valid Driver's License and eligible driving record based on HHSC Fleet Management policy. Applicants with an out-of-state driver's license must provide an original certified driving record from the state of driving licensure or obtain a valid Texas Driver's License Initial Selection Criteria:

High School Diploma or GED.

Experience in the use of a personal computer.

Experience in Microsoft Excel and Word.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
