The Clerk II is responsible for the daily tasks associated with the clerical duties located on her/her assigned program in order to insure availability of resources, reporting of data and efficient flow of communications within the program and the organization as a whole. Although completion of duties requires use of established methods, on occasion, there may be opportunity for originating new methods and/or techniques in order to complete some tasks.

Decisions are simple and based on well-defined guidelines. This individual works under general supervision of the Program Director and has no supervisory responsibility. He/she is accountable for assigned property.

The person in this position is responsible to know and comply with all relevant policies, procedures and safe work practices of NTSH. Although a non-clinical staff member of this program, this position is required to demonstrate appropriate role-modeling behaviors when in the presence of patients and staff.

This employee has full access to a limited set of records in accordance with HIPPA regulations. Access level Health Care Operations PHI 2-B.

Performs other duties as assigned, including but are not limited to actively participating and/or serving in a support role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. The position or job tasks may require an alternate shift pattern assignment and/or location, as needs of the hospital require. Essential Job Functions:

Attends work on a regular basis and may be asked to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.

All employee time is reported daily, and timesheets are accurately submitted in accordance with HR guidelines.

A review of the record indicates employee participation in disaster response and COOP activation.

Assignments are accurate and complete by request date.

Patient census and movement reports are accurate and submitted according to guidelines in order to assure no interruption in the delivery of services.

The communication activities within the employee's control continually support the mission of the program by being accurate and timely.

All human resource activities occur timely and accurately preventing gaps in staffing levels and in meeting compliance ratios.

Maintains required training without prompting identified time frames, seeks additional training opportunities.

Assignments are accurate and complete by request date.

All reports occur timely and accurately preventing miscommunication with other departments and in order to meet set deadlines.

Adequate stock supplies are available and non-stock items are ordered upon request so that there is no interruption in the delivery of services. Supply closets are checked on a regular basis to ensure that stock items are rotated and soon to expire items are removed. Knowledge Skills Abilities:

Requires proficient knowledge of operating general office equipment (i.e., fax, copier, computer) and computer software.

Requires ability to analyze problems, job tasks and develop solutions and/or reports.

Requires ability to perform detailed work accurately.

Ability to work and communicate effectively and professionally with others.

Maintains confidentiality.

Ability to organize and manage a general office environment.

Ability to take initiative, work independently and exercise appropriate judgment. Registration or Licensure Requirements:

Valid Current Driver's License Initial Selection Criteria:

High School graduate or GED (required)

At least one year of clerical experience (preferred)

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, and HHS OIG list of Excluded Individuals/Entities. Males between the ages of 18-25 must be registered with the Selective Service.

All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.

Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza.

All these diseases are vaccine preventable. Vaccines may be provided. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
