Overview / Job Responsibilities:

Responsibilities

The Clerical/Administrative Support Specialist will provide general-purpose administrative and clerical support for project tasks. Excellent organization and communications skills; technical typing; data entry; filing; scheduling appointments; arranging travel itineraries; maintaining visitor control; and answering telephones. Specifically, this candidate will:

  • Provide support to the Office Chief on Specific tasks include, but are not limited to: (Offices include: Professional Services-Contracting Division (PS-CD), Managed Care-Contracting Division (MC-CD), Health Information Technology-Contracting Division (HIT-CD), Defense Health Military System-Contracting Division (DHMS-CD), Procurement Policy & Acquisition Systems Division (PP&ASD), and Business Operations Division (BOD))

  • Provide subject matter expertise on all matters pertaining to the business rules that guide staffing practices/procedures and provide general rules and guidelines for business functions.

  • Review work products for correctness and adherence to DHA's standards, policies and procedures.

  • Prepare briefings, talking papers and bullet background papers for presentation to senior executive level officials in the military and civilian service. Ensure correctness and adherence to DoD's and DHA's standards, policies, and procedures.

  • Prepare responses to Congressional inquiries. Ensure correctness and adherence to DoD's and DHA's standards, policies, and procedures.

  • Provide administrative support including typing, filing distribution of reports, data entry, and preparation of presentations, meeting scheduling and other administrative duties.

Minimum Qualifications:

  • Excellent written and oral communications skills

  • Proficient in the use of the Microsoft suite of applications including Word, Excel, PowerPoint, Outlook, and Project as well as with Adobe Acrobat

This position requires the individual to perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion and judgment. Daily functions include: * Making travel arrangements and filing expense reports. * Managing calendars. * Scheduling meetings. * Coordinating customer interface. * Providing briefing/presentation support. The selected candidate will be an integral part of the team and must be self-motivated, and have the ability to collaborate well in a team environment. The position will require the incumbent to have excellent verbal and written communication and organizational skills. The successful candidate will have experience producing comfortably with deadlines and milestones, and have a track record of working in a fast-paced, multi-faceted environment with a high daily workload and be able to maintain confidentiality. This position may require occasional non-standard work hours in support of business schedules. Basic Qualifications: * High School diploma or equivalent, and 6 years additional education and/or related experience; or a Bachelor's degree with two years' experience in the administrative professional field. * Previous experience supporting a Director or other senior level leaders. * Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel) and intranet/internet proficiency. * Must have the ability to compile and generate reports and presentations. * Individual must have proven experience completing wide varieties of tasks with minimal supervision. * Ability to efficiently coordinate Outlook calendar. * Experience with Concur (or similar) travel and expense reporting system. * Proven experience handling/maintaining confidential materials. * Prior experience coordinating both on- and off-site meetings and/or events. * Experience proofreading and correcting documents for grammatical errors. * Must have experience in supporting a variety of executive levels, management level and administrative support within an organization. Preferred Qualifications: * Familiarity with Northrop Grumman Enterprise Services policy and procedures. * Experience performing multiple, complex duties, while being extremely customer oriented.
