Rate: $39,978.00 TO $46,342.00

Status: Full Time

GENERAL DEFINITION: This is advanced clerical work, performing procedural processing tasks, including those of the

area of specialization. A position in this class independently processes involved, multi-step procedures usually requiring gathering and/or verifying information, comparing against established standards, and determining conformance to requirements and/or further action needed. Work includes the performance of specific tasks in the area of specialization and may include the performance of

higher or lower-level duties on an incidental basis. A position in this class is differentiated from those in related classes by the incumbent's individual responsibility for independently carrying out and accounting for assigned processes that facilitate the accomplishment of remaining functions. A position in this class reports directly to a higher-level clerical, technical, professional or administrative position.

TYPICAL EXAMPLES OF WORK: (Illustrative Only)

  • Maintains records of and processes administrative activities such as payroll, employment, time

and attendance, petty cash, equipment and/or supply inventory, requisitions, and mileage; determines

when action, such as purchase of office supplies, is required and initiates same; assembles

information from such records for own or others use in budget and other administrative planning

efforts; establishes files and maintains file systems alphabetical, chronological, numerical or

other basis; retrieves requested materials from files; signs, date-stamps or otherwise identifies

and/or controls files.

  • Makes appointments for office staff members; schedules staff meetings, training sessions, and

other gatherings; organizes and notifies parties of meetings, conferences, hearings and similar

activities; documents steps taken to prepare for and follow-up on such activities; assembles and

makes sufficient copies of records, agenda, training materials and other information required; takes

notes of discussion, decisions and other activities of such meetings and develops minutes from such

notes.

  • Answers telephone and/or receives visitors to office; answers questions about services and/or

refers for further assistance; composes answers to routine correspondence; may open, sort and

distribute incoming mail; receives and issues receipts for payments; posts payments and other

information to records; may make bank deposits; operates automated data-processing, copying,

microfiche and dictating equipment, calculators, automatic sorters, collators, check signers, adding

machines, and/or similar office equipment.

  • May oversee the work of other clerical personnel.

  • Performs related work as required.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Thorough knowledge of clerical practices and procedures commonly employed in administrative,

governmental, legal, judicial or similar offices.

  • Thorough knowledge of English usage, grammar, spelling and punctuation as used in clerical

assignments in governmental or judicial offices.

  • Skill in gathering information from and explaining procedural and/or processing requirements to

visitors, callers, clients, members of the public and representatives from other offices both within

and outside of the County or the Court.

  • Skill in organizing workload, establishing priorities and completing clerical-processing

requirements.

  • Ability to use spreadsheet, database, graphics and/or similar computer programs, when required

by work assignment.

  • Ability to establish and/or maintain filing and other recordskeeping systems.

  • Ability to operate typewriters, copiers, and other office equipment, if required by work

assignment.

  • Ability to establish and maintain effective working relationships with associates, callers,

visitors, clients, representatives of other offices and members of the public.

ACCEPTABLE TRAINING AND EXPERIENCE:

  • Education equivalent to completion of the twelfth school grade.

  • Three to four years clerical experience in an administrative, professional, governmental or

judicial setting which has included one year of experience, in the area of specialization, at the

full performance level.

  • Or any equivalent combination of acceptable training and experience which has provided the

knowledge, skills and abilities cited above.
