The Clerical Specialist provides administrative and clerical support to ensure the efficient operation of the department.

Responsibilities/Duties/Functions/Tasks:

  • Obtains missing and/or updated information from clients via telephone, email, mail, or fax.

  • Reviews files, mail, and legal documents to gather information and locate missing or incomplete records.

  • Retrieves various documents from client and court websites and saves them to the applicable file.

  • Contacts clients, attorneys and courts for resolution of outstanding issues, further instructions, status updates, and additional information and documentation.

  • Prepares various types of letters and communications to attorneys.

  • Solicits executed agreements from third parties via telephone and email.

  • Monitors electronic court mailboxes and forwards communications to the appropriate party.

  • Serves documents filed with the court, as required.

  • Performs data entry to update accounts.

  • Monitors client billings and prepares billing statements, as required.

  • Takes inbound calls, directs calls, and conveys messages.

  • Reviews, notates and distributes mail to the appropriate parties.

  • Complete all required training applicable to assigned position.

  • Additional duties as requested or required.

Qualifications:

  • High School diploma or General Education Degree (GED)

  • 6 months relevant office experience or an equivalent combination of education, training, and experience.

  • Professional demeanor with clients and co-workers.

  • Good oral and written communication skills.

  • Organizational and multi-tasking skills.

  • Must know and have used Microsoft Office products (Word, Excel, Outlook)

  • Typing Test will be required.

  • Knowledge of office practices and procedures; computer operation; word-processing software; internet research.
