TITLE: Clerk, Grade II

REPORTS TO: Cost Center Administrator

FUNCTION: Works independently with supervision only as necessary, providing general clerical and office services. After an initial training period, must be able to work independently on a variety of complex but routine tasks and within clearly defined operating procedures. Once priorities are established, makes most decisions relating directly to the completion of tasks or duties. Routine decisions relating to the general operation of the cost center may be delegated to the position by the supervisor. Accuracy, attention to detail, timely completion of tasks, and good organizational skills are essential to successfully function in this position002EAaSz

ESSENTIAL JOB FUNCTIONS: An individual must possess the ability to perform these essential job functions with or without reasonable accommodation. The following are typical of the types of duties performed:

  • Types diversified data from copy or dictating machine on a word processor/computer. Arranges materials for processing and checks own work with minimal assistance.

  • Takes messages and schedules appointments, exercising judgment concerning priorities. May serve as receptionist for facility in absence of Clerk, Grade I.

  • Communicates with the public and other departments to expedite the flow of general information for the cost center or relay information for the supervisor. Communication is generally in person or over the telephone.

  • Accurately prepares and maintains routine records, files, and reports, accessing computer system as necessary.

  • Operates office equipment to include scanner, copier, multi-line telephone system, computer, fax machine, and postage meter.

  • May assist other clerical personnel on a temporary basis in the completion of their duties to support the smooth operation of the cost center.

  • May process, classify, and distribute incoming and outgoing mail for the cost center.

  • Depending upon work load, employee may be required to work in excess of thirty-five hours per week.

QUALIFICATIONS: At the time of application, each candidate must possess the following:

  • High school diploma or equivalency.

  • At least six (6) months of related clerical or secretarial experience.

  • Demonstrates a basic knowledge of general office practices, procedures, and protocol.

  • Demonstrates outstanding interpersonal communication skills in communicating with other CCPS employees and the public.

  • Operates office equipment to include scanner, copier, multi-line telephone system, computer, fax machine, and postage meter.

  • Demonstrates a basic knowledge of business English, spelling, punctuation, grammar, and the ability to compute basic mathematics.

  • Demonstrates the ability to prepare and maintain accurate reports, files, and records.

  • Achieves minimum qualifying scores on the Department of Human Resources approved clerical skills test(s).
