CLE Coordinator
Cooley is seeking a CLE Coordinator to join the Professional Development team.
Position summary: The CLE Coordinator will be part of a growing team at Cooley focused on the accreditation and compliance of firm training programs and attorney licensing issues. This CLE Coordinator will work with the Director of Attorney Licensing and Compliance and the Licensing and Compliance team on all aspects of CLE accreditation and lawyer compliance tracking and reporting for the firm. This role will serve as an expert resource on US jurisdictions CLE accreditation and compliance matters, including timely entry of internal education programs in PCAM, the CA Provider Reporting Portal, or similar databases, as well as monthly attendance reporting, as required to maintain the firm's accredited provider status. Specific duties and responsibilities include, but are not limited to, the following:
Position responsibilities:
Continuing legal education compliance:
Work with team to monitor and maintain provider status in US CLE jurisdictions including:
Maintain PCAM and/or CA Bar provider reporting and similar databases in additional jurisdictions by entering internal courses as required and provide updates to team on process changes
Process attendance fees each month by the deadline
When applicable, issue attendance and teaching MCLE certificates to internal or external attendees or instructors
Collaborate with CLE team to prepare annual provider reports or audits for Director review and approval
Complete annual provider renewal payments by required deadlines
Serve as back up to responsible team members for provider reporting database entries and monthly reporting to ensure coverage
Serve as additional internal subject-matter expert on issues related to US jurisdictional CLE compliance requirements to assist firm lawyers, paralegals, secretaries and practice team assistants with CLE compliance questions and follow up through completion
Provide review and analysis of course materials and other program documentation submitted for internal CLE accreditation for format and content requirements
Prepare and submit applications for course accreditation in relevant jurisdictions
Support the global CLE accreditation and compliance process including entry of internal and external program data into CLE tracking systems, processing attendance records, preparing CLE materials and forms, assisting with logistics, and issuing certificates for accredited programs
Support on-site, off-site and online CLE accredited programs produced by the firm
Assist in the creation of regular data reports and analyses as requested, including preparing annual reports for review and provider audit responses
Administer and maintain firm-wide CLE and legal learning management system databases
Complete Professional Development/CLE related onboarding and offboarding tasks as appropriate
Assist with roster maintenance and access to PLI, Lawline, ABA and other firmwide membership accounts
Monitor external educational and professional development opportunities and keep attorneys informed of relevant CLE programs
Assist with relationships with educational consultants, vendors, and outside providers
Work with Professional Development, Legal Education, Associate Development and other internal teams on Professional Development event logistics, planning and administration
Troubleshoot logistical problems and continuously look for process improvement with creative solutions
Maintain tip sheets and other training resources for firm attorneys and professional staff related to the CLE accreditation process; provide direct training to secretaries and practice team assistants, as needed
Attorney licensing:
Assist in monitoring status of legal licenses and renewals for firm lawyers, paralegals, and patent agents to ensure filed within required time frames
Stay informed of current regulatory requirements, initial licensing procedures, and renewal processes
Maintain a strong to expert-level knowledge of regulatory requirements of all firm office jurisdictions
General responsibilities:
Assist in drafting, editing, and uploading content on Cooley's internal webpages and learning management system
Proofread own and other's work with attention to detail and accuracy consistently following standardized rules of language regarding spelling, punctuation, grammar, word usage, and sentence structure
Monitor the central email box and ensure responses are sent as appropriate
Attend regular department and other administrative meetings

Skills & experience:

Proficiency in the Microsoft Office suite, iManage and other firm applications
Advanced Microsoft Excel skills
Ability to travel, as needed
2+ years' experience working in attorney licensing and compliance, CLE and/or other legal professional development role
Experience with learning management systems
Advanced knowledge of CLE tracking systems (CE Manager)
Advanced-level knowledge of CLE rules, accreditation standards (including materials review) and reporting processes (CA, CO, DC, FL, IL, MA, NY, TX, VA, WA)
Experience with adult learning principles and instructional design
Preferred:
Bachelor's Degree
Prior law firm experience
Strong to expert-level knowledge of CLE/CPD rules and reporting processes (all applicable US jurisdictions, E&W, Hong Kong and Singapore)
Experience with PCAM, the CA MCLE Provider reporting portal and the upgraded CE Manager tracking database

The expected hourly pay range for this position is $32.50 - $40.00. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate. Senior level candidates may be considered for this position and would be eligible for a higher salary range based on experience.
