Overview

GENERAL SUMMARY OF POSITION: Under the direction of the Director or designee, the Project Coordinator I provides analysis and support for projects, administrative, and general operations. Responsible for independent action on multiple projects as assigned. Tasks vary according to the priorities of the department.

Responsibilities

MAJOR RESPONSIBILITIES:

  • Organize and plan work activities of the Department for review with appropriate senior staff

  • Implement and manage tasks in accordance with departmental objectives

  • Participate as a member of project teams

  • Assist senior staff with project development activities: compiling data, drafting reports, and assisting with special projects

  • Maintain project plans in Microsoft Project and produce related project reports

  • Compile and analyze data, and draft project reports for review by senior staff

  • Initiate and maintain contact with key personnel including staff, department heads and external parties

  • Update the Director or designee on project details and changes in a timely manner

  • Review pertinent correspondence, communications and other background materials on a daily basis to remain current on project and operation details

  • Draft routine correspondence, meeting minutes, management reports for the Director or designee and department staff

  • Prepare multi-media presentations and reports utilizing a variety of software applications including, but not limited to: Microsoft Word, PowerPoint, and Visio

  • Develop and maintain time schedules for department staff, project events and office activities

  • Maintain project files and support materials

  • Perform other duties as required.

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor's degree in business administration, a related field, or equivalent experience

  • 1 year of experience coordinating and planning projects

  • Ability to work in a team and meet performance deadlines in a dynamic environment

  • Excellent oral and written communication skills necessary to interact with clients and staff

  • Demonstrated experience in using computer-based tools including electronic mail, word processing, spreadsheet and database products.

Paper I-9s have been converted to an electronic format and will need compliance review and possible remediation. Responsible for independent action within the context of meeting USCIS I-9 regulations and electronic I-9 software recommendations, as well as meeting the overall compliance and timeframe expectations of the project. It will be the responsibility of the individual in this role to organize and plan work activities for the I-9 conversion project for review with the Director. This will include reviewing all I-9s as they are uploaded into electronic format, determining appropriate remedy according to USCIS I-9 requirements and software recommendations, and implementing and managing remediation tasks in accordance with project objectives This is a temporary position expected to last 3 months. Opportunity to work full-time (40 hours/week) during this period. Responsibilities MAJOR RESPONSIBILITIES: * Participate in project teams and coordinate tasks in accordance with project objective(s) * Document and maintain records of current project plans, decisions, project reports, schedules, budgets, cost tracking reports, and other pertinent records * Compile data and update electronic I-9 records * Prepare spreadsheets, multi-media presentations, statistical, and financial reports for presentation utilizing a variety of software applications including; but not limited to, Microsoft Word, PowerPoint, and Visio * Maintain updated information on proprietary project software and run reports as needed * Provide research and administrative support for special projects * Perform other duties as required. Qualifications REQUIRED QUALIFICATIONS: * Associate's Degree in business administration, a related field, or equivalent experience * 3 years of related experience * Ability to work in a team and meet performance deadlines in a dynamic environment * Excellent oral and written communication skills * Strong interpersonal skills required to interact with all organizational levels; demonstrated ability to work appropriately with confidential information. * Demonstrates the ability to utilizes independent judgment, assess priorities, and operate in a flexible manner in order to meet the dynamic needs of the department. * Demonstrates excellent organizational, analytical and time management skills * Demonstrates proficiency with software applications including, but not limited to: Microsoft Word, PowerPoint, Excel, Access, Project and Visio. PREFERRED QUALIFICATIONS: * Prior paralegal, compliance or Human Resources experience * Experience processing/reviewing I-9s * Tracker I-9 or similar electronic I-9 database experience a plus.
