Responsible for receiving and issuing warehouse materials and maintaining inventory for the City's Warehouse. The incumbent of this position will coordinate the Citywide disposal and salvage process, assist with the online computerized auction for the sale of City surplus, and perform a variety of technical tasks relative to assigned area of responsibility.

This is a Safety Sensitive position subject to random drug/alcohol testing.

Education / higher education:   High School Graduate or equivalent

Minimum number of years of directly related experience:  Three years of warehouse management, warehouse operations and/or surplus experience to include one-year technical lead or supervisory experience in an administrative capacity.  

Education and/or experience preferences:  Knowledge of data analysis and forecasting methods. Working knowledge of inventory management software. An analytical mind with strong math skills. Excellent organizational and planning skills. Outstanding communication and interpersonal abilities.  BS/BA in Business Administration, logistics or relevant field.

Driver's License requirement:    Infrequent Driver -- Regular Driver's License     Required Endorsements:  None 

Note -- For any driver, driving record must always meet City driving and insurability standards.

Required certifications, licenses or registrations:  Incumbent may be required to be certified in First Aid, CPR, AED and Defensive Driving.  

Preferred certifications, licenses or registrations:  none  

Knowledge:  Operations, services and activities of a warehousing; Development of an inventory training program methods and techniques of material storage, handling and disposal; Methods and techniques of inventory control; Modern office procedures, methods and equipment including computers; Operational characteristics of warehousing equipment, vehicles and tools; Operational characteristics of inventory control and distribution systems; Occupational hazards and standard warehouse safety practices; Principles and procedures of record keeping; Pertinent Federal, State, and local laws, codes and regulations

Skills:   Must be able to type rapidly and accurately enough to successfully produce documents/spreadsheets, communicate via email, or perform data entry as necessary to accomplish the essential functions of the position (must test at or above 30 net WPM).   Use of technology, equipment and software typically used in the office environment.   Make arithmetic and mathematical calculations quickly and accurately; Understand and follow oral and written instructions; Organize, coordinate and complete tasks to meet scheduled deadlines.  Complete work assignments with minimal supervision; operate computers and other modern office equipment, including online computer systems and related equipment.

Abilities:  Ability to read, comprehend and carry out detailed but routine written or oral instructions.  Ability to write short routine correspondence and memos.    Ability to effectively present information to employees and customers.   Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent.   Ability to deal with problems involving numerous concrete variables in standardized situations. Ability to accurately track inventory and create reports

Interaction with Groups/Agencies/Entities:  Internal:   Works with department supervisors, managers and directors on routine assignments and special projects.   Maintains harmonious, courteous, and understanding relationships, while fostering a collaborative teamwork environment.   External:  Works with vendors, contractors, customers, the general public, or public officials on routine problems and issues in a courteous and efficient manner.     Presents a friendly, courteous image for the City to the general public, visitors, and public officials.    

The following functions are typical for this position.  The omission of specific functions does not exclude them if the work is similar, related or a logical assignment for this position.  Other duties may be required and assigned.

  •  Lead, train, review and participate in the work of staff responsible for receiving, issuing warehouse materials and maintaining inventory for the City Warehouse.

  • Perform a variety of warehousing duties and functions including receiving, logging, storing and issuing supplies and materials.

  • Coordinate the Citywide disposal and salvage process; work with assigned department representatives for the disposal and salvage of equipment and material; ensure compliance with established salvage policies and procedures.

  • Assist with the online computerized auction system for the sale of City surplus equipment and vehicles; respond to the general public regarding auction items for sale; ensure payment and process title of sold vehicles.

  • Train assigned employees in their areas of work including warehousing methods, procedures and techniques coordinate safety training; oversee the use, care and operation of warehouse and material handling equipment including fork-lift.

  • Receive, log and store various shipments of materials, equipment and supplies; issue materials as needed; maintain computerized records of stock and inventory.

  • Oversee storage of material in proper locations and the matching and marking of material with proper stock numbers; maintain Material Safety Data Sheets (MSDS) sheets for the City warehouse inventory as required.

  • Coordinate and participate in the inventory of stock items by inventory cycle counts on a monthly basis; assist in the coordination of the annual inventory process; assist in the verification and accuracy of counts and resolution of any discrepancies.

  • Oversee the general maintenance and upkeep of City warehouse and equipment; contact facilities maintenance or contractors for repair and maintenance as required.

  • Coordinate staff training and assist employees to correct deficiencies.

  • Assist in the preparation of analytical and statistical reports on operations and activities including the online auction.

  • Operate office equipment including computers and supporting word processing and spreadsheet applications.

  • Interpret and explain City policies and procedures.

  • Prepare clear and concise reports.

  • Work independently in the absence of supervision.

  • Understand and follow oral and written instructions.

  • Establish and maintain effective working relationships with those contacted in the course of work.

  • Communicate clearly and concisely.

  • Perform the essential functions of the job with or without reasonable accommodation.

  • Utilizes vendor systems effectively to apply appropriate fund and location information to orders.

SUPPLEMENTAL FUNCTIONS:

  • Respond to public inquiries in a courteous manner; provide information regarding City warehouse operations; resolve complaints in an efficient and timely manner.

  • May be required to train City department representatives on the use of warehouse operations Web-based software.

Preferred Skills and Ability

  • Coordinate the work of warehouse staff in the area of work assigned.

  • Independently perform the most difficult warehousing tasks.

  • Interpret, explain and enforce warehouse policies and practices.
