Job Description

30% - Circulation management:

  • Opens the law library and provides Public Service Desk assistance to all law library patrons Monday - Friday mornings; answers/transfers phone calls, checks out/in resources and room keys.

  • In consultation with law library faculty, this position is responsible for hiring, scheduling, and supervising law library student workers. Communicates regularly with student workers and provides orientation and guidance as needed.

  • Manages study room reservations for students and other departments within the Law School.

  • Promotes student awareness and compliance with law library policies and procedures, including study carrel and printing policies.

  • Maintains and updates the Circulation policy manual. Consults regularly with law library faculty to provide updates and suggestions regarding Circulation policies and procedures.

  • Maintains the Circulation calendar within Voyager, generates Voyager status reports and distributes them.

  • Handles faculty checkouts, overdues, and renewals each summer. Collaborates with KU Libraries regarding long-term checkouts, overdues, and fines for law students, law faculty, and law student publications staff.

  • Manages the outgoing and incoming mail posting and distribution.

  • Coordinates pickups and deliveries with the KU Libraries courier and UPS/FedEx. Refills MFDs, manages guest logins and law-only-borrower accounts, and distributes temporary parking passes as necessary.

20% - Interlibrary loan & document delivery:

  • Answers and processes all incoming ILL/DD requests for our materials (loans and copies) received daily via OCLC, SHAREit (KS), phone or US mail.

  • Coordinates with Research & Reference Librarian and law library faculty on all aspects of ILL/DD in the law library.

  • Knowledge of and adherence to ILL protocols and best-practices are expected (orientation and continuing education available).

  • Responsible for marking any materials sent via courier and securely packaging those being sent via US mail. Manages renewal requests from borrowing libraries, damaged books, and lost item billing.

  • Provides updates and makes suggestions to law library faculty regarding ILL/DD policies or procedures.

20% - Collection maintenance:

  • Responsible for shelving, shifting, and maintaining the print collection.

  • Manages updates to resources, files looseleaf services, and inserts pocket parts.

  • Performs simple book repairs as necessary and prepares materials to be sent to the bindery.

  • Works with other members of the Technical Services department on preservation activities and the Legal History collection.

  • Collaborates with the Technical Services Manager to maintain special collections, including the Reserve, Reference, and Faculty Publications collections.

  • Assists with updating the Faculty Publications Display and other law library displays.

  • Assists with projects that enhance the visibility of Law School faculty publications.

  • Creates and updates signage related to the collection and law library policies.

15% - Serials management:

  • Manages all aspects of serial documents, including federal and state documents.

  • Responsible for receipt record maintenance in Voyager, distribution of materials in the law library, and associated processing duties.

  • Follows Federal Depository Library rules for processing, claiming, and maintaining federal documents.

  • Maintains continuations check-in records for use by other staff. Ensures accurate statistics are consistently recorded and preserved.

  • Responsible for routing selected serials to Law School faculty and maintaining the corresponding records.

  • Performs all activities associated with claiming non-received items; determining the reason for non-receipt; generating a claim when appropriate.

  • Maintains and updates Serials policy manual; consults regularly with law library faculty to provide updates and suggestions regarding Serials policies and procedures.

10% - Reference & instruction:

  • Coordinates with the Research & Reference Librarian to provide reference assistance at the Public Service Desk so the needs of all patrons are effectively met.

  • Reference assistance may include help with using resources, instructions for locating library materials, explanations of operating policies and procedures, and referral to Reference Services as needed to successfully resolve patron queries.

  • Reference assistance duties include in-person consultations, responding to reference email inquiries, answering reference phone calls and responding to reference voice mail messages, and providing virtual reference consultations via Zoom or Teams when necessary.

  • Supports instructional efforts with maintaining and updating law library Research & Study Guides.

5% - General administrative assignments:

  • Collaborates with the Director and law library faculty on various special projects; assists the Director and (Assistant/Associate) Director as needed; other duties as assigned.

  • Examples include contributing to law library newsletter and supporting law library and law school projects as needed.

Required Qualifications

  • Bachelor's degree and three years of library or related experience OR high school diploma/GED and five years of library or related experience.

Preferred Qualifications

  • MLS, equivalent, or related master's degree

  • Circulation and/or serials management experience

  • Reference and/or instruction experience

  • Collection maintenance experience

Position Requirements

This is an in-person (40/hours week) position in the Wheat Law Library, KU School of Law, Lawrence, KS.
