Chorus Coordinator, Operations Specialist

The Peabody Preparatory of The Johns Hopkins University seeks a Chorus Coordinator, Operations Specialist who will support the mission of the Peabody Children's Chorus (PCC) by providing on-site operational and administrative support directly to PCC students, families, faculty, contractors, and Preparatory staff. This role will work side-by-side with Chorus Coordinator, Student Specialist to coordinate and facilitate the accomplishment of organizational goals, objectives, strategic and tactical initiatives, as well as ensuring the smooth and efficient operation of PCC.

As a professional staff representative of the Peabody Children's Chorus, the candidate will be a detail-oriented team player who is committed to responsiveness and customer service dealing regularly with PCC students and families.

The position is expected to maintain the highest degree of professionalism and trust on the telephone, in person, via electronic communication, and must be able to prioritize and multitask based on changing needs and situations. Inter- and intra-office communication and teamwork skills are critical.

Duties include coordinating and performing a broad range of administrative and operational duties in a complex environment for the Peabody Children's Chorus supporting rehearsals, concerts, special performances, and international tours.

Founded in 1894, the Peabody Preparatory of the Johns Hopkins University is Baltimore's premier community school and pre-professional academy for the performing arts. The Peabody Preparatory is part of the Peabody Institute, one of the nine divisions that comprises The Johns Hopkins University. The Preparatory has a distinguished faculty of 130 educators and serves approximately 2,500 students per week on four campuses. The Preparatory offers music and dance educational experiences ranging from early childhood classes for infants to life-long learners engaged through Peabody Plus. The dance department, dating from 1914, is one of the oldest continuously operating dance training centers in the United States.

An integral part of the Preparatory, The Peabody Children's Chorus (PCC) was established in 1990 and currently includes over 400 singers in 13 rehearsing ensembles and 4 preparatory classes, at 3 separate locations.

As well as touring in Italy, France, Germany, Austria, England, Scotland and Hawaii, the Chorus has performed with many local ensembles including the Baltimore Symphony Orchestra, Baltimore Choral Arts Society, Concert Artists of Baltimore, and Lyric Opera. The Chorus values the highest artistic standards in all dimensions of the program, including choice of repertoire, tone of concerts, sound of ensembles, musicology, and performance practice; and believes in a philosophy of education that fosters self-growth and discipline through the pursuit of excellence and beauty, as well as the study of core musical skills.

Specific Duties & Responsibilities

Operations & Logistics

  • Plan and oversee technical needs, materials, and equipment required for rehearsals and classes.

  • Oversee set-up and break-down for all rehearsal, class, and sectional spaces.

  • Oversee student safety; supervise students during rehearsals, classes, performances and on tours.

  • Take attendance at rehearsals and classes.

  • Work closely with security/traffic team to coordinate student drop-off and pick-up processes.

  • Recruit, train and manage parent volunteers, Class Parents & tour chaperones, ensuring all volunteers complete required JHU training and follow JHU policies and procedures for volunteering and working with minors.

  • Manage orientations for new students & families.

  • Schedule and run tour chaperone and parent meetings.

  • Serve as production manager for all PCC concerts and events, overseeing all technical requirements for concert and event setup and production; serve as the point person for PCC with venue staff including coordinating riser setup and removal, and piano tuning.

  • Student manager for all PCC concerts

  • Deliver concert programs.

Administration

  • Manage all reservations & contracts related to rehearsal, concert, and special event venues.

  • Arrange performance video & audio recording, livestream.

  • Manage all contracts for vendors and Independent Contractors, including traffic/ security.

  • Manage all purchases related to PCC (including music scores, office supplies, uniform items, spirit wear) including direct responsibility for the chorus credit card.

  • Working with marketing to ensure the website remains up to date.

  • Working with marketing and PCC's digital marketing team to create content for PCC social media platforms on TikTok, Instagram, Facebook.

  • Working with marketing to create recruitment materials (including flyers, postcards, social media) and to execute the distribution plan.

  • Assist with rosters and student data collection.

  • Assist with student registration in ASAP, the Preparatory's online registration system.

Communications

  • Serve as a primary point of contact for families; respond to parent emails and work to foster a sense of community through positive interaction with families.

  • Be responsible for global communication with families: create welcome letters, announcements, forms, reminders, operational/informational messages; utilize Slate.

  • Communicate with JHU Offices: IT, Business Office, Development, and Marketing.

Special Knowledge, Skill & Abilities

  • Experience working with school-aged students and their parents.

  • Superior written and oral communication skills.

  • Ability to work independently and prioritize work effectively and within established deadlines and timeframes.

  • Excellent interpersonal, problem solving and customer service skills, a strong attention to detail and accuracy, and an ability to multi-task in high-pressure situations.

  • Demonstrated ability to work productively independently and as part of a team.

  • Working knowledge of Office365, Google Drive, Canva, and social media platforms.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Two years office/administrative experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor's Degree.

  • Experience in K-12 or community arts sectors.

  • Familiarity with community music school online registration systems, learning management systems, and Slate.

The referenced base salary range represents the low and high end of Johns Hopkins University's salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications. Education and Experience Equivalency

Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
