We are seeking a smart, driven, and action-oriented individual to be the Chief of Staff to the Director, Finance Transformation and Compliance. In this critical role, you will enable the Finance Transformation and Compliance team to achieve their strategic objectives by leading special initiatives, mobilizing key stakeholders, and advocating for the vision of the organization. This is a facilitative role that requires a combination of focus and flexibility, as well as a willingness to play an active, behind-the-scenes role. The role requires a highly resourceful individual with strong emotional intelligence, self-motivation, integrity, absolute confidentiality where appropriate, and strong analytical skills.

The Chief of Staff will have the opportunity to think strategically and develop key processes, procedures and communications that facilitate operational planning and execution. This position requires extensive cross-group coordination at all levels, excellent communication skills, compelling presentations and comprehensive business review materials that span all the various functions. The position will participate in overall strategy discussions and facilitate business execution.

RESPONSIBILITIES

  • Participate in shaping and developing the strategic priorities and initiatives of the Finance Transformation and Compliance organization and working with the Leadership to execute key cross-functional projects

Lead select strategic initiatives, including managing program development and defining scope, roadmaps, and action plans

Work closely with the Leadership team to develop communications strategy, key messages and content for executive-level communications targeted at a variety of internal audiences

Assess and identify communication needs to develop and manage appropriate communication solutions for projects, ongoing business changes, and other corporate initiatives both large and small

Identify opportunities to communicate messages, driving engagement and connecting them to the organizational strategy, including executive emails, organizational announcements, policy and process changes, and updates on strategic initiatives

Enable and foster a culture of high organizational performance through internal and cross-group initiatives, team events, and leading cross-team projects to optimize organization performance

Plan key business activities and provide strategic direction and preparation for executive engagement across internal leadership meetings, all hands meetings, business reviews, industry events and other speaking engagements

Represent the Director of Finance Transformation and Compliance as needed in various forums interfacing with company leaders

MINIMUM QUALIFICATIONS

  • Bachelor's degree in Business, Operations, Economics, Finance or related area

Knowledge of shared services strategies, operating models, processes, and technologies

Experience working, and building relationships with and influencing members of management of a public technology company

Experience working cross-functionally to identify, develop solutions for and execute even with business challenges

Analytical and communication experience

Experience creating presentations including experience turning data into a story

PREFERRED QUALIFICATIONS

  • MBA, CPA, or advanced degree in Finance, Business Administration, or IT

Demonstrated track record of successful interaction with executive leaders

Experience navigating large globally dispersed teams

Ability to think strategically and also act operationally and ability to manage ambiguity, risk, and changing direction of projects and strategies

Demonstrated track record of successful interaction with executive leaders

Demonstrated track record of successfully leading large transformational implementations

Experience in the successful implementation of solutions at a global scale

Experience in managing multi-functional global initiatives

Contract negotiation experience with business process outsource organizations

This individual will collaborate with internal and external stakeholders to help identify, develop, implement, and monitor the effectiveness of process improvement projects focused on increasing efficiency, improving the quality of client services, and eliminating processes that are redundant or do not add value. This role will serve as an integral part of a team that is leading the deployment of a continuous improvement infrastructure throughout the Health and Human Services system.The Transformation Specialist will report to the Director of Transformation in the Office of Transformation and Innovation and will perform project management for critical and high profile initiatives designed to improve the efficiency and effectiveness of the health and human services system. They will perform complex, highly advanced (senior-level) operational, contract management, and policy work, including coordination and project management functions.This position is responsible for the development of project charters, project plans including timelines and milestones, pre-and post assessments, project and progress reports, as well as for interpreting legislative and fiscal requirements, identification and resolution of risks and issues, and ensuring the timely completion of quality project deliverables. The Transformation Specialist will communicate information to the Transformation Director, division staff, internal and external stakeholders, agency leadership, and others. Essential Job Functions: (20%) Document business process, policies, and procedures throughout the organization and conduct routine and ad hoc assessments, functional reviews, evaluations, and process mapping of operational processes and document operational efficiency, strengths, weaknesses, risks, and opportunities for improvement.(20%) Develop, plan and coordinate implementation of business process improvement initiatives and work in coordination with the Office of Performance to establish measurement systems to monitor performance after implementation of changes.(15%) Identify systemic issues that impede operational efficiency, and coordinate division resources to accomplish system improvements. Work with other agencies, divisions, legislators and stakeholders to ensure close coordination during planning and implementation of transformation initiatives.(15%) Compile and distribute project information status reports, high-quality letters, memoranda, analyses, presentations, and other assigned writing tasks. Develop responses to public, stakeholder, and legislative inquiries, and performs legislative bill analysis as assigned. Collaborate with and conduct presentations to community and professional groups, HHS program areas, other state agencies, legislative staff, the public and stakeholders to provide information, and technical assistance, and to identify and resolve impediments to success. Develop executive briefing documents, issue papers and memoranda for executive decision making. (10%) Communicate gaps in process design and implementation to upper management and provide consultative support to various units within the context of the overall strategic objectives of improving processes and gaining efficiencies.(10%) Provide subject matter expertise related to project management of continuous improvement initiatives and assist with staff briefings and trainings regarding implementation of improvements plans and process engineering maintenance plans designed to improve effectiveness.(10%) Develop and maintain effective working relationships and communication with staff and other internal and external stakeholders.
