Overview

Oversee and be ultimately responsible for the Financial support functions and personnel of the Firm, including its subsidiaries, and shareholders. Accountability and oversight in the areas of financial accounting, reporting, planning & budgeting, internal control functions, and financial policies and procedures. Assisting and providing sound guidance to the Managing Shareholders in meeting the Firm's financial, investment and business objectives.

Essential Functions/Responsibilities:

Manage and be responsible for all day-to-day financial transactions of the firm, including but not limited to the following: Payroll administration and Tax PaymentsAccounts PayableGeneral Ledger and Trial Balance journaling and management

Bank reconciliations

Potentially Billing, Accounts receivable and Collections over time

Credit Card payments and reconciliations Responsible for the generation and integrity of all financial reporting of the firm in regard to the above activities, along with the following:P&L's, Balance Sheets and Cash Flow statements on a regular basis

Business Unit and Partner Level Profit and loss statements

Billing and Collection reports Quarterly and Year end reports required by the firms external CPA & Tax preparer Other reports generally prepared for Shareholder and key constituents Implement and maintain financial controls and guidelines which optimize cost effectiveness and profitability. Develop and manage a financial budgeting and forecasting process for the firm, its subsidiaries and shareholder's limited partnerships.

Once the process is developed, prepare annual budgets including organizing, reviewing, analyzing, and formatting support information provided by the department leaders for the consideration and adoption by the Managing Shareholders Develop and manage a vendor approval and payment process to capture all operating and capital expenditures of the firm.Once the process is developed, administer all aspects of the process to maximize security and control over the firm's funds, while consistently looking for cost reduction and efficiency savings opportunities. Design, prepare, or review business cases and financial analysis as required, suitable for the basis of managerial decisions. Proactively identify opportunities for growth, overhead reduction and revenue.

Function as a liaison from a financial perspective in the negotiations of the firm for the following:Lease agreements for capital equipment.Bank RelationshipsLong Tern Debts, Loans and Lines of Credit Stay up to date and well versed to manage and oversee the implementation of any new financial software being developed by the firm Ensure the timely payments of the Firm's Retirement Plan contributions and timely filing of appropriate reports related to such plans. Support tax forecasting/planning/filing as required by Shareholders and the Firm's tax accounting firm. Function as a liaison and work collaboratively with the CPA which the firm engages.

Strong ability to support by prioritizing and understanding how to multi-task high level requests for heads and employees of the firm regarding all aspects of their financial transactions, reporting or other requirements as needed and provide sound guidance. Develop financial plans, reports and analysis in support of the firms CSO. Be fully responsible and autonomous of current trends and products that could be recommended to improved systems in finance, accounting, timekeeping, billing, collections and all other aspects of the firm's financial operations.

Assist the Compensation Committee by compiling partner performance financial information, analysis and commission / bonus calculations and reporting. Prepare and support Cap sheets under the guidance and instruction of the firms CPA and CSP as required.

Other Administrative and Management Functions:

Manage the finance department staff in all aspects of day-to-day activities and personnel matters. Create and implement training and individual developments plans for all members of their team as needed.

Ensure all personnel matters are managed properly. Serve as a business partner and advisor for the shareholders and management in analyzing this information for their efficient management of the Firm and improved performance. Provide accurate financial information to the Firm's shareholders and management on a timely basis.

Assist in the development and monitoring of fiscal and business policies, controls, and procedures. Process financial transactions and serve as the firm's internal technical specialist in the areas of audit, tax, trust, billing, collections and cash management of the Firm, its subsidiaries, its Retirement Plans, and shareholder's limited partnerships. Foster and promote a "client service" attitude among the administrative personnel to our external clients and our internal clients - attorneys and shareholders. Proactively develop, manage and maintain banking relationships with external vendors ensuring smooth day to day operations within the firm Extemporaneous assignments and duties as may be assigned by the CEO or required of the job.

Leadership Requirements:

This position calls for strong leadership skills encompassing the successful management of multiple components including but not limited to:

the development and engagement of a team orientated culture. supervisory responsibilities: oversee quality control. streamlining workflow and processes. manage and drive the firm's goals, policies and procedures. promote accountability, follow-up and follow-through, successfully effectuating organizational structure and cohesion. ensure proper and timely communication with all channels (both internal and external). ability to prioritize and manage multiple high-level tasks and deadlines. serve as a liaison between the Business Unit Leaders, Finance team and Shareholder's providing regular updates, insights and feedback to firm leadership to optimize performance and results.

Work Environment:

This job operates in a professional office setting. This role uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Ability to communicate, work well as a team player and comply with firm policies and procedures.

Physical Demands:

The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Position Type/Expected Hours of Work:

This is a full-time position. Standard days and hours of work are Monday through Friday 8:15 a.m. to 5:15 p.m. However, the position requires flexibility to work during nonstandard hours as needed.

Travel:

There is minimal travel required for this position.

Required Education and Experience:

MA degree in Accounting, CPA License a plus 10 years minimum experience working in Finance in Law or other Professional Service organization. Expert in service business GAAP standards.

Finance background with a strong business perspective. Experienced in the migration to an enterprise level legal financial and billing system over the last 24 months. Law Firm financial metrics and management experience, (i.e., timekeeper, billable hours, matter driven key metrics and revenue operations). Project management experience is a plus.

Financial policy writing experience. Advance knowledge of Excel required.
