JOB SUMMARY:

The Education and Culture Manager will oversee activities associated with CECI, including the Scholarship Program, Burial Assistance Program, fundraising events, website and social media maintenance, administration of CECI Board meetings, and financial tasks related to accounts payable and receivable.

ESSENTIAL FUNCTIONS:

  • Ensure programs align with the organization's mission, vision, goals, and objectives.

  • Conduct research and benchmark best practices to enhance program efficiency and effectiveness.

  • Build and maintain effective, collaborative working relationships with staff, customers and external partnerships.

  • Demonstrates exceptional customer service in all interactions.

  • Foster a learning environment that encourages team and customer participation.

  • Advertise, distribute material, and present program information to diverse groups.

  • Administer daily office operations schedule program activities.

  • Compile and record program data using Excel or other database; organize, track, file and report documents as needed.

  • Evaluate and analyze program data to report returns on investment, program success, and alignment with the organization's mission.

  • Responsible for the management and administration of the scholarship program, for applicants and recipients.

  • Promote and support scholarship goals to provide financial support to Calista Corporation Shareholders and Descendants.

  • Maintain and update scholarship materials, applications, policies, procedures, and processes.

  • Assist students with scholarship applications, review and evaluate submissions, and notify applicants of outcome.

  • Collect and monitor the recipient reporting requirements, facilitating payments to schools based on compliance.

  • Update and maintain the online scholarship application, manage data, and develop reports.

  • Responsible for the management and administration of the burial assistance program, serving as a main contact for Shareholders or their representatives.

  • Process applications, develop reports, and maintain updated materials, policies, and procedures.

  • Collaborate with the CECI Executive Director and its business partners to manage, plan, schedule, and coordinate fundraising events.

  • Provide marketing and advertising materials for fundraising opportunities and oversee donations.

  • Assist fundraising teams with event coordination, schedule development, and task monitoring.

  • Process contributions, allocate funds, monitor budgets, acknowledge donors.

  • Complete a gaming test and serve as an alternate for the gaming permit, ensuring compliance with requirements.

  • Maintain and update CECI's website and social media sites.

  • Assist with scheduling and organizing CECI Board and Committee meetings, including preparing agendas, recording minutes, and making travel arrangements.

  • Manage accounts payable and receivable, maintain records, and process invoices and payments.

  • Track state and federal funding program activities and maintain related records.

  • Gather and maintain tax and audit information for auditors as requested.

  • Travel as needed for job-related tasks.

  • Participate in required company training.

  • Maintain alertness and adhere to safety protocols.

  • Perform additional duties as assigned.

SUPERVISORY FUNCTIONS:

This position periodically supervises Administrative Support and Interns and coordinates a team for fundraising events, including delegating responsibilities, providing directives, and monitoring completion.

KNOWLEDGE, SKILLS, & ABILITIES:

  • Excellent organizational and time management skills, ability to prioritize, multi-task, and maintain confidentiality with minimal oversight.

  • Understanding of accounting principles, practices and financial data analysis and reporting.

  • Strong knowledge of local culture, traditional values, customs, and language.

  • Ability to work independently, make decisions with minimal supervision, and manage and supervise employees.

  • Proficiency with Microsoft Office Suite and ability to learn new software programs.

  • Ability to type 45 WPM and use the 10-key by touch, with knowledge of financial modeling and strategic management.

  • Capacity to process a high volume of data accurately and meet deadlines.

  • Professional and effective communicate skills, both written and verbal.

  • Excellent interpersonal skills for effective collaboration with all levels of management, employees, public and private officials, and the general public.

  • Ability to administer programs, including reviewing and maintaining required documents for eligibility.

  • Proficiency with general office equipment.

  • Strong analytical skills for data evaluation and impact assessment.

  • Adaptability to changing tasks and environments; managing competing demands and planning duties to meet deadlines.

  • Understanding of and adherence to policies, procedures, and emergency response protocols.

  • Demonstrated accuracy and thoroughness, with focus on continuous improvement and quality monitoring.

  • Goal-oriented, demonstrating persistence and the ability to overcome obstacles.

  • Responsibility for own actions and timely task completion with proactive communication of alternate plans if needed.

  • Problem-solving abilities, including information gathering, analysis, and group problem-solving.

  • Willingness to ask for and offer help and generate constructive improvement suggestions.

  • Ability to participate in and facilitate group meetings.

  • Willing and able to work overtime and/or flex work schedule as needed to meet work demands and maintain a professional appearance.

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent required; Bachelor's Degree strongly preferred.

  • Minimum of four (4) years of supervisory and work-related experience or equivalent combination of education and experience.

  • Demonstrated experience in project management and implementation.

  • Leadership experience in an educational setting.

  • Willingness and ability to travel within the Calista Region.

  • Valid state driver's license and qualification to operate a vehicle under CECI's Driving Policy.

  • Ability to pass a drug, driving, and background screening.

WORKING CONDITIONS

Calista Education and Culture, Inc.'s team has a fast-paced multi-tasking customer service oriented office environment requiring a high degree of efficient and effective performance. Adaptability regarding schedule and task changes is necessary to accommodate changing priorities. Overtime may be required.
