The Catering Event Planner is responsible for finalizing catering business while maximizing the banquet space to meet/exceed sales goals. The catering Event Planner also will be available for catering events, involved in the operational planning and execution of events. Help create a dining experience that meets member or family needs and build events to support interdepartmental business needs.


  • Set appointments and meet with Clients/ members to help assist with planning events.

  • Responsible for all aspects of planning executive meetings or premium/ upscale special events.

  • Responsible for all contract negotiations

  • Liaise with the Executive Chef to plan special requests for clients and special event menus. Arrange introductions between the client and Chef.

  • Monitor and handle inquiry calls on a timely basis, including availability on field call on scheduled days off to ensure last minute Shiva planning.

  • Work with the Marketing department to showpiece catering

  • Solicit and promote catering events with affiliation to Hebrew Senior Life

  • Coordinate and oversee service for booked events including assisting clients, answering questions and directing the banquet team when needed.

  • Promote our over 12,000 square feet of gorgeous indoor /outdoor community center with meeting and reception space, accommodating up to 300 member/ guests.

  • Manage annual planning and forecasting process

  • Initiate and oversee necessary purchasing procedures in order to secure appropriate POs

  • Meet annual catering goals.

  • Monitor and handle inquiry calls on a timely basis

  • Organize traces for follow-up; be familiar with status of each.

  • Prepare banquet checks for the previous day's functions; ensure accuracy of charges.

  • Ensure client files are kept organized and current with all required information.

  • Meet with clients to work out the details of their functions. Escort clients through the property and highlight features of facility as well as available services.

  • Suggestively sell menus which meet the client's needs and maximize revenues.

  • Adhere to all accounting policies regarding payment.

  • Liaise with the Executive Chef to plan special requests for clients and special event menus. Arrange introductions between the client and Chef.

  • Where appropriate, coordinate arrangements for tasting to persuade profitable potential clients.

  • Ensure that all definite functions are detailed accurately on Banquet Event Orders, signed by clients and distributed to designated departments on a timely basis.

  • Check function room setups prior to guest arrival, ensuring all details are in agreement with client's requirements and property standards.

  • Meet with Chef prior to function time to verify arrangements and to observe the quality of the food presentation.

  • Assist in plate up of meals as requested

  • Welcome group contact upon arrival at function and ensure client's satisfaction.

  • Communicate parking needs and coordinate efforts to accommodate client needs

  • Assist in supervising the service of functions, ensuring guest satisfaction

  • Monitor, handle and process all billing/payment procedures according to accounting standards.

  • Anticipate guests' needs, respond promptly and acknowledge all clients.

  • This position may be required to perform a combination of the following supportive functions

  • Build marketing portfolio and solicit new outside business

  • Networking events and developing new business with residents

  • Develop Service standards

Newbridge on the Charles operates 7 days a week 365 days a year. This position requires one to be flexible with scheduling including the potential of working weekend shifts.


  • Minimum 2 years catering sales or catering administration experience

  • 4 years of College or equivalent preferred.

  • Thorough knowledge of the practices and procedures of the catering, food & beverage and hospitality professions

  • Effective communication skills, and the ability to negotiate, influence, and sell professionals and/or prospective clients.

  • Attention to detail

  • Strong computer skills; must have experience with Excel and Word to update inventory spreadsheets, calculate requisitions, and track deliveries. Delphi and Micros knowledge a plus.

  • Excellent customer service skills with a "can do attitude"

  • Ability to read, write and speak the English language fluently in order to complete forms, inventories, read billings, invoices and communicate with co-workers and suppliers.
