Your daily responsibilities include
Answer banquet/catering phone, schedule appointments for clients to inspect function site, receives confirmed contracts/deposits, prepare Banquet Event Order forms and maintain client/event files.
Evaluate client needs, conducts research and makes recommendations in order to assist clients in establishing requirements for banquet and convention space needs.
Send or fax menu samples and/or confirm menus with clients.
Assist clients with any problems or special requests to ensure the best personal service to meet guests' needs.
Coordinate meeting or function space design with Room Service and EVS.
Type menu proposals created by Catering Manager.
Type weekly Banquet Event Calendars and distribute to all departments.
Record deposits, forward checks to Accounting to post to master accounts/files
Coordinate daily and weekly catering meetings.
Distribute all Banquet Event Order forms and Banquet Event Calendars. Update all appropriate departments with detail changes.
Rent and coordinate with outside vendors to ensure proper planning and execution of events (audio visual equipment, flowers, dance floors, tables, chairs, etc.).
Create appropriate signs for hotel meeting rooms.
Must provide courteous and friendly service to all guests and staff.
Perform related work as requested.
To be successful in this position it will require the following skill set
EXPERIENCE: 6 months of prior experience in the catering or banquets field.
EDUCATION: High School Diploma or GED.
SKILLS: Excellent communication and organizational skills. Be knowledgeable in the area of Food and Beverage menus and banquet setups, and maintain a study of these. Ability to perform basic math. Ability to present self in a professional, pleasant, confident and well groomed manner. Good organizational and people skills required.Skill in establishing and maintaining effective working relationships with guests and staff. Full knowledge and understanding of company and department rules, policies and procedures. Ability to read, write, and communicate verbally in English. Ability to assist Catering Director in all areas of operations, specifically in the development and distribution of all pertinent paperwork, handling telephone calls and coordinating the staffing and equipment levels of the function. Ability to work a flexible schedule to accommodate night time functions.
