Hotel Nikko San Francisco, voted a Best Place to Work by San Francisco Business Times, is a luxury property located just off Union Square with 532 guest rooms and suites and 20,000 square feet of meeting and banquet room space. We are recruiting for a non-exempt Full-Time Catering Coordinator to assist the Catering and Conference Services Team in meeting and/or exceeding revenue goals.

Job Overview:

Administrative tasks include: data entry, filing, answering phones, proofreading, copying and distributing documents, maintaining client lists, preparing contracts and appropriate letters to clients, producing weekly and monthly reports and organizing office supplies.

Job Duties:

  • Respond to client calls and special requests and obtain final details, dates, times and meeting room requirements. Regularly follow-up with clients and maintain accurate and updated information.

  • Perform administrative duties such as typing proposals, letters, contracts, etc. Collect data, update data-bases, and complete departmental monthly reports.

  • Resolve requests and/or complaints to the satisfaction of the guest; inform supervisor of major problems, complaints, disturbances or dissatisfied clients.

  • Promote team work and quality service through daily communication and coordination with other departments. Coordinate details with other departments such as VIP amenities, special requests, or other service needs or special handling.

  • May coordinate outside vendor services needs (floral displays, audio/visual, etc.) where appropriate. Regularly follow-up to ensure set-up requirements meet client needs.

  • Perform other duties as assigned (special guest requests, maintaining calendars, answering phones and routing to appropriate sales staff, handling of mail, faxes, etc.)

Requirements & Qualifications:

  • A minimum of two years administrative experience is required.

  • Experience in the hospitality industry and Catering/Sales Coordinator experience is preferred.

  • Experience in Delphi, Opera & Passkey highly desirable.

  • Must be very proficient in MS Word, Excel and Power Point. Adobe Photoshop a plus!

  • Must be detail-oriented and have strong organizational, time management skills.

  • All candidates must be fluent in verbal and written English.

Other:

  • Communication skills are utilized a significant amount of time when interacting with clients and guests.

  • Reading and writing abilities are utilized often.

  • Basic math skills are used frequently.

  • May be required to work nights, weekends, and/or holidays.

Responsibilities * Takes catering orders over the phone and in person. * Schedules and arranges delivery for catering orders. * Communicates with all teams to review orders and ensure accuracy. * Rings in all catering orders and maintains accurate sales records. * Orders catering-related inventory. * Plans and executes catering demonstrations on the sale floor. * Arrives to work station on time, appropriately groomed, dressed and ready to work; works all scheduled shifts and attends required trainings and meetings. * Provides excellent customer service, addresses needs of customers in a timely and effective manner and models suggestive selling techniques; answers phones and pages promptly and courteously. * Maximizes sales potential through effective and proper procedures for prepping, storing, rotating, stocking, and merchandising product. * Follows and complies, or ensures compliance, with established procedures, including Weights and Measures, health and sanitation, and safe work practices. * Maintains, or ensures maintenance of, a clean and sanitary working and shopping environment; maintains equipment in accordance with WFM cleanliness and safety standards. * Performs opening, mid, and closing duties as assigned; ensures accuracy of signs and pricing. * Immediately reports safety hazards and violations. Knowledge, Skills, & Abilities * Provides excellent customer service and addresses customer needs in a timely and effective manner. * Excellent product knowledge. * Familiarity and/or willingness to learn about products, nutritional information, and other areas of study. * Working knowledge and application of all Prepared Foods merchandising expectations. * Good basic math skills. * Knowledge and ability to use computer programs such as Microsoft Word, Excel, Outlook, and ordering systems. * Strong to excellent communication skills and willingness to work as part of a team. * Ability to deliver information in a clear and respectable manner to fellow Team Members, customers, and vendors. * Ability to meet customer service expectations and standards in all interactions with customers, vendors, and Team Members. * Ability to follow directions and procedures; effective time management and organization skills. * Passion for natural foods and the mission of Whole Foods Market. * Strong work ethic and ability to work in a fast-paced environment with a sense of urgency. * Understanding of and compliance with WFM quality goals. Physical Requirements / Working Conditions * Must be able to lift 50 pounds. * In an 8-hour work day: standing/walking 6-8 hours. * Hand use: single grasping, fine manipulation, pushing and pulling. * Work requires the following motions: bending, twisting, squatting and reaching. * Exposure to FDA approved cleaning chemicals. * Exposure to temperatures: <32 degrees Fahrenheit (freezing), 32-40 degrees Fahrenheit (refrigerators), >90 degrees Fahrenheit. * Ability to work in wet and dry conditions. * Ability to work a flexible schedule including nights, weekends, and holidays as needed. * Ability to use tools and equipment, including knives, box cutters, electric pallet jacks, and other heavy machinery. * May require use of ladders.
