Catering Coordinator

To actively and independently support the role of the Conference Services and Catering Managers and Directors, in order to provide the best service possible to the client.

Hotel Overview:
Born of a golden era, the history of The Claremont dates back to the early days of the Gold Rush, when a Kansas farmer by the name of Bill Thornburg "struck it rich". The Claremont boasts an award winning Spa & The Club at The Claremont.

Summary of Responsibilities:

Reporting to Director, Catering and Conference Services, responsibilities and essential job functions include but are not limited to the following:

Accurate and timely general document and correspondence production, organization, and distribution including, but not limited to:

  • Client letters

  • Group Billing

  • Resume

  • Amenity requests and cards

  • Pre-con packets (title sheet & staff phone list)

  • BEOs

  • Assemble menu packets and pre-cons packets

Other duties include:

  • Copying and delivery of deposit checks to the Accounting Department

  • Photocopying

  • Mailing of departmental correspondence

  • Checking of assigned managers' outbox

  • Checking of assigned managers mailbox

  • Accurate message taking and relaying information

Qualifications:

  • Previous experience is an asset

  • Business administration or in Hospitality/Tourism preferred, but not required

  • Computer literate with a minimum keyboarding speed of 65 wpm

  • Knowledge of and experience with Delphi/Opera systems helpful

  • Excellent organizational and administrative skills

  • Must be flexible, self-motivated, and have the ability to prioritize and follow through

  • Ability to work in a fast-paced/pressured environment

  • Must be effective at listening to, understanding, and clarifying the concerns raised by guests

  • Pleasant out-going personality/good interpersonal skills

  • Good command of the English language

  • Prior hotel experience preferred

Visa Requirements:

Must have proof of eligibility to work in the United States.

All Candidates must be in possession of identification proving authorization to work in the United States as defined in the Immigration Reform and Control Act of 1986 (IRCA).

Responsibilities * Assists as assigned in planning and organizing internal and external business related functions, symposiums, conferences, program events, banquets, and VIP briefings. * Responsible for event execution. May be assigned as event lead, event manager, service expediter, opener or closer. * Acts as a team leader responsible for problem solving and catering event management. * Provide on the job training for staff in the established standards for banquet and catering service. * Prepares pull sheets and assembles required service ware and equipment necessary for successful execution of a banquet event order. * Responsible for practicing good stewardship with university and customer resources. * Demonstrate high level of customer service including: pleasantly greet/direct customers, assist disabled guests, answer general informational questions * Knowledgeable about food being served, including allergens, ingredients, etc. * Accurately prepare menu signs per required standards as needed. * May be assigned administrative tasks involved in processing banquet event orders Checks in and out rental orders and equipment. * May open or close event in the absence of a manager or supervisor. * As assigned assists in developing budgets for both on-site and off-site events and assists in coordinating other logistical event details such as parking/transportation, catering, et cetera. * Leads and directs staff, assigns breaks, check staff in and out according their schedules and or work load. * Completes any required timesheets and or payroll records timely. * Maintains guest lists and coordinates mailing of invitations. * Interact enthusiastically and pleasantly with customers and co-workers to ensure a positive interaction and outcome in every interaction. * Establish and maintain positive relations with our customers. Listen and resolves customers' needs. * Provides health and safety training, guidance on safe work practices, provides proper equipment, observes work practices and correct methods and investigates accidents. Works in a safe and responsible manner while not putting self or others at risk. This includes complying with applicable policies and regulations; using personal safety gear; observing warning signs; learning about potential hazards; and reporting unsafe conditions.
