The Catering & Convention Service Manager is responsible for planning, organizing, and managing the in-house details for group and convention bookings. (e.g., menus, set-up, etc.) In addition, solicit business for assigned catering markets with an assigned revenue goals.
Solicit business for assigned catering markets. Take incoming catering inquires for assigned markets. Follow through on all leads generated through a variety of sources, including networking events, and client referrals.
Correspond with clients in a timely and professional manner. Create accurate, detailed contracts and review them with clients to serve as written confirmation for clients and information for in-house operations. Ensure that any changes made to contracts are in writing and signed by the client and hotel management.
Detail all Catering business personally booked as well as act as a Convention Services main point of contact for Group bookings with meeting space. Ask all appropriate questions and create BEOs within Company policies and standards, including all necessary details needed to host a successful function. If necessary for the group, create and distribute Resumes at least 10 days prior to function start date. Schedule and organize pre-convention meetings if necessary for the group.
Work closely with the culinary team to plan client menus, especially when customization is needed to fully satisfy the client.
Follow up with clients upon completion of their functions to gauge satisfaction, address concerns, solicit future business and solidify the relationship.
Maintain & log all client communications in Delphi. It is the responsibility of the Conventions Services Manager to use Delphi to keep in touch with clients through phone calls, emails, letters and personal meetings.
Lead weekly Resume Meetings as well as engage in weekly sales meetings and prospecting efforts.
Work closely with the Sales Managers to ensure client satisfaction.
Responsible for prompt handling (within the business day) of inquiry calls and monitoring the efficient flow of paperwork relative to confirming function details to the client.
Have acquired knowledge with the ability to upsell clients, while promoting a level of service parallel to the property
Able to conduct hotel site inspections and client presentations.
Resourceful skills to provide contemporary set-ups, menus, and functions for groups.
Work closely with banquet department on operations and event execution, ability to consistently deliver flawless events.
Ability to work with outside vendors to ensure client satisfaction for all events/groups.
Monitor convention activities on-site to ensure accurate and timely execution of convention arrangements.
Solicit affiliate business.
Perform other duties as assigned by the Director of Sales and Marketing.
Must be able to speak, read, write and understand the primary language(s) used in the workplace.
Requires good communication skills, both verbal and written.
Ability to prepare and analyze data figures and transcriptions prepared on and generated by computer.
Strong administrative skills including business writing.
Must be proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, etc.)
Previous Hotel Catering Sales and/or Convention Services experience (preferably with a national brand, with a proven track record for success in sales and revenue generation)
Exceptional service skills, with strong ability to foster effective relationships with all levels of staff, management and clientele
Outstanding leadership skills and the ability to create a motivating work environment
Excellent organization skill and ability to multi-task and successfully manage multiple priorities in a fast-paced environment
Must be able to lift up to 10 pounds occasionally.
Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.
