STATUS: Hourly/Non-Exempt

PAY RANGE: $28.00 - $30.00 Hourly

ESSENTIAL FUNCTIONS

The position of the Cash Management Specialist will accurately track cash receipts for the Food Bank, including donations, pledges, and grants, and handle bank deposits. Reporting to the Accounting Manager and Senior Accountant, the specialist will manage cash and agency fees, reconcile daily and monthly reports, and create cash receipts batches. Responsibilities also include resolving refunds, returned checks, and chargebacks, updating agency lines of credit, managing accounts with overdue balances, and maintaining accurate customer information. The specialist will act as the main contact for agencies regarding account balances and follow up on overdue accounts.

WHAT YOU'LL DO

Cash Handling and Reconciliation

Receive cash and agency fees and create and deposit batch-to-deposit cash receipts. Daily reconciliation of deposits to the Daily Fund Summary report. Create cash receipts batch to record daily collections based on the Daily Fund Summary report received from the Development department. Reconcile monthly bank and fund reconciliation reports. Prepare monthly accounts schedules for AR Aging, pledges, stock, and other receivables.

Responsible for processing credit card authorizations.

Account Management and Customer Relations

Apply payments & credit memos to agency accounts. Manage agency accounts and monitor outstanding balances of over 90 days. Be the main point of contact for agencies related to their account balances, providing statements and following up on overdue accounts. Responsible for updating agencies' line of credit as needed.

In-charge of customer maintenance: ensuring all new and existing customers are updated and contain accurate and current information. Coordinate with the Agency Relations department in identifying overdue agency accounts that need to be written off. Ensures that terminated or dormant agencies with outstanding balances are settled before changing status from active.

Issue Resolution and Process Improvement

Research, resolve, and record refunds, returned checks, chargebacks, and/or other collection issues, including coordinating with the Development department. Contribute to improving processes to increase efficiencies in recording cash transactions promptly and increase the accuracy of posting. Perform additional duties as assigned by the Accounting Manager, Senior Accountant, and other leadership. Provide support to the Finance Department and perform other job-related tasks as assigned.

QUALIFICATIONS

  • Degree in Business Administration with at least 3 years experience in all phases of accounting from a detailed journal entry, reconciliation, and closing.

  • Computer experience and proficiency with Microsoft applications.

  • Good oral and written communication skills.

  • Detail-oriented, strong analytical capabilities are needed to formulate and prepare reports.

  • Demonstrates problem-solving and organizational abilities. Participates in operational aspects of the department, and maintains/participates in performance improvement activities within the department.

  • Conducts self in a professional, respectful, and courteous manner during all interactions. Works effectively and collaboratively with others toward common goals. Presents a professional appearance and demeanor. Ability to work effectively with people of widely diverse backgrounds.

  • Communicates accurately, honestly, supportively and in a timely manner with department and interdepartmental team members. Demonstrates strong planning, organizing, time management, and interpersonal skills.

  • Self-starter who is able to work with minimum supervision. Works effectively under pressure to meet established goals and objectives.

  • Valid CA Driver's License and access to a reliable and insured vehicle. Required to travel within Los Angeles County. May be scheduled to work at either facility in Los Angeles, CA, or the City of Industry, CA

  • May need to commute between Food Bank facilities in Los Angeles, CA, or the City of Industry, CA
