The Career Development Runway Coordinator is responsible for a variety of logistical, support, and administrative responsibilities for Full Sail University's 'Runway' initiative.

The Career Development Runway Coordinator is responsible for the logistical details of the participating graduate contracting process and all 'Runway' expense tracking. In addition, 'Runway' Coordinators will help maintain data integrity and diligence within Full Sail University's Contact Relationship Management (CRM) and 'Runway' content hub.

The 'Runway' Coordinator will work closely with the Career Development and Graduate Success leadership teams to identify necessary areas of opportunity, efficiency, and optimization to exceed the 'Runway' initiative's desired outcomes. 'Runway' Coordinators have exceptional organizational, administrative, research, logistical, and time management skills.

Essential Duties and Responsibilities:

  • Be a Full Sail University ambassador embracing our unique educational model, while maintaining the highest level of integrity, professionalism, and customer service.

  • Acts as a resource to help contractors with their documents.

  • Partner with inter-departmental and participating company project leads to secure accurate contractor invoices in a timely manner.

  • Verify submitted invoices against SOWs to ensure goods and/or services have been received before issuing payment. Clarify questionable invoice items.

  • Review and forward completed invoices to Business Office for payment.

  • Post business transactions and practice effective monitoring to ensure payments are made to contractors in a timely manner.

  • Maintain meticulous records of Runway expenses and protect university against unintentional overpayment.

  • Secure participating company financial information for inclusion into payment system.

  • Partner with leadership to evaluate and analyze initiative needs to modify, iterate, and improve existing processes as appropriate.

  • Communicate initiative-specific outcomes, processes, and analysis to a variety of stakeholders in well-organized manner.

  • Maintain contractor content hub/repository as needed.

  • Provide initiative administrative support as necessary.

  • Contribute to the overall success of the Career Development department within Full Sail University by performing all other duties as assigned by leadership.

Other Responsibilities:

  • Act as liaison through strong working relationships with all interdepartmental stakeholders to clarify intent, share ideas, manage risk, suggest change, and clearly explain business impact.

  • Partner with all Career Development divisions to execute strategic process change management as needed.

  • Ability to work flexible hours, including nights and weekends as required.

  • Adheres to the policies and procedures of Full Sail University.

  • Maintains strict confidentiality of company and personnel information.

  • Demonstrates a strong commitment to the mission and values of the organization.

  • Adheres to company attendance standards.

  • Performs other duties as assigned.

Education and/or Experience:

  • Bachelor's degree preferred with 1-3 years of university business office and/or project management experience.

  • Must successfully participate in and complete all continuing education/training requirements.

Computer Skills:

  • Proficient with Microsoft Office Suite, various web tools, Salesforce CRM enterprise software, and various other expense software as needed.

  • Proficient with various Apple and Windows based hardware.

Environmental Factors/Physical Demands:

Work is performed in an office environment. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system often while listening on the telephone. May be subject to bending, reaching, kneeling, stooping and lifting up to thirty (30) pounds.
