POSITION SUMMARY: Performs a variety of clerical support and other duties to assist the nursing staff in carrying out daily patient care activities. Monitors cardiac rhythms via telemetry monitors.

.# Transcribes and expedites physician orders.# Functions as a Receptionist.# Reports to the Clinical Nurse Manager. # EDUCATION/CERTIFICATION: High School Diploma or GED equivalent. Will be required to pass the ECHN arrhythmia course or challenge exam during the new employee introductory orientation period.

Knowledge of medical terminology. Must be able to read and communicate effectively in English and have basic computer skills. Must maintain competency required for area of assignment.

Demonstrates competency in interpreting dysrhythmias. 11. Runs and posts rhythm strips at the specified times. 12.

Communicates information about dysrhythmias to the appropriate nurse in a timely fashion. 13. Maintains logs pertaining to telemetry. #

Assists with the database as necessary. # EDUCATION/CERTIFICATION: High School Graduate. Associate Degree preferred. EXPERIENCE: Previous office administration experience preferred. COMPETENCIES: Computer literacy required, including the use of Microsoft Word and Excel. Positive interpersonal relationship skills required. ESSENTIAL DUTIES and RESPONSIBILITES: The Receptionist will be able to demonstrate the following essential competencies, duties and responsibilities as a result of education, experience and NHC initial orientation and ongoing learning. # 1.##### Reception/Clerical: a.###### Schedule patient appointments. Collaborate with Clinical Manager in scheduling emergency patient visits. b.##### Greet patients and ensure that all WHC and hospital paperwork is complete at time of check-in. c.###### Maintain a system to track cancelled appointments and reschedule patients. d.##### Maintain the telephone log sheets. e.###### In conjunction with the Clinical Manager, maintain a new patient scheduling system based on referral source preference, panel physician insurance participation, medical staff by-laws restrictions (podiatrists), and panel physician preference, specialty, and rotation status. f.###### Prepare charts for patients scheduled the following day. g.##### Make appointment confirmation calls to patients one day prior to their scheduled appointment. h.##### Answer the phone promptly (within 3 rings) in a positive and professional manner.# Ensure that all phone messages are retrieved from the WHC phone system within 2 hours or next business day. i.####### Obtain all information on the new patient information sheet during the appointment scheduling phone call. j.####### Send copy of medical record face sheet, progress notes and super bills to the physician#s Office Manager. k.##### Arrange patient transportation as needed. l.####### Assist the Program Director and Clinical Coordinator with the patient non activity report and ensures that all patients have a follow up appointment. m.### Oversees all office activities, such as ensuring we have all the necessary forms available for our charts.# And ensures we have all of our necessary office supplies. n.##### Reviews all paperwork that is given to her by patient registration to ensure all data and account numbers are correct. o.##### Verifies insurance and gets authorizations when Office Coordinator is not working. p.##### Schedules and notify patients and WC staff for all#ordered Diagnostic Studies.# Ensures data,#ICD - 9 Codes are correct on order sheet. # 2.##### Finance/Billing: a.###### Collect co-payments from patients at the time of appointment. b.##### Support the billing program with the hospital as directed by the Office Coordinator. c.###### Enter all patient/client demographics, charges, and insurance information with a minimum of 98% accuracy. d.##### Assist in the reconciliation of charges daily by utilizing the super bill and the daily charge entry report. e.###### Assist in the reconciliation of weekly and month end statistics with the Program Director, Clinical Manager and Office Coordinator. f.###### Learn billing process for WC program to be a back up for Office Coordinator. # 3.##### Medical Records: Establish and maintain a system to ensure that all dictated progress notes have physician signatures prior to being placed in the chart. Ensure that all necessary chart forms are in the charts prior to the patient visits. Abstract the medical record for patient billing unless performed by medical records. Ensure timely completion of the chart (per hospital policy). File test reports/signed dictation in a timely manner. Send copy of fact sheet, progress notes and super bill to the physician#s Office Manager within 24 hours of visit. To observe and comply with NHC#s and, where applicable, a client hospital#s policies and procedures, in either case, related to legal and regulatory compliance, including, but not limited to, compliance with the Federal Trade Commission#s #Red Flag Rules# pertaining to identify theft detection and mitigation, the Health Insurance Portability and Accountability Act of 1996 (#HIPAA#) and subsequent federal and state legislation and regulations pertaining to the use, confidentiality, privacy, security and protection of patient health information (#PHI#) and electronic PHI; and any other state or federal law or regulation which pertains to the reduction and/or elimination of waste, or fraud and abuse in connection with the delivery of health care items or services. Discharges medical records from#IHEAL and correlates paper chart and follows Medical Records process for the Wound center. 4.## Support Database: a.### Maintains accurate data base on insurances for both#Meditech and IHEAL. b.### Ensures that the daily schedule is accurate and enters the schedule in#IHEAL and Meditech. c.### Enter database information accurately and timely. d.### Pull reports for the Program Director and Clinical Manager as requested. e.### Report any difficulties with the database to the Program Director in a timely manner. # 5. ##General: Maintain safe environment and follow all Hospital and NHC policies and procedures. Maintain a professional appearance and manner at all times. Interact in a courteous manner, whether by phone or in person, with all patients, family members, visitors and staff. Report all unusual occurrences and issues to the Program Director. Maintain strict patient and staff confidentiality. Adhere to NHC time and attendance polices. Ensures overall smooth operation of center when Program Director is not in center and Clinical Coordinator is with patients. Perform other duties as assigned.
