The Campus Visit Coordinator supports the enrollment goals of the Admissions department by ensuring our customers the highest quality campus visit experience possible.

What will I do in this position?

Essential job responsibilities include but are not limited to:

  • Coordinate the process of connecting prospective students with faculty, staff, coaches, admission counselors, campus tours, meals, chapel, and overnight stay (i.e. schedule meetings). Provide a welcoming environment for campus guests. Send confirmation materials in advance of visits. Assemble visit materials. Update and maintain the reception area PowerPoint presentation. Communicate with Admissions staff, student ambassadors, and other appropriate campus staff (campus security, athletics, etc) so they are informed of what each visit day schedule looks like. Receive/return phone calls.

  • Personalize and coordinate the scheduling of individual prospective student appointments, including meetings with an admission counselor, faculty member(s), coach or director, campus tour, meals, chapel, overnight stay, etc. Prepare and post daily appointment schedule via e-mail. Maintain accurate records of all appointments/visits. Receive/return phone calls.

  • Coordinate and manage group visits to campus.

  • Supervise the student ambassadors: hire, train, manage schedules, approve time cards, review performance, and facilitate monthly team meetings. Work with the Assistant Director of Traditional Admissions - Visits and Events to provide professional development opportunities for the ambassadors.

  • Oversee the student visit assistant.

  • Oversee the overnight prospect-hosting program and the student host coordinator.

  • Update Ambassador Training Manual, in collaboration with the manager; assemble manuals as needed.

  • Maintain the Admissions appointment calendar as it relates to campus visit operations.

  • Provide Ambassador-related clerical support, as requested by the manager.

Secondary job responsibilities include but are not limited to:

  • Meet with prospective students and families as needed.

  • Assist with Admissions' visit events as requested.

  • Assist with miscellaneous department duties as requested.

What will it take to succeed in this position?

Minimum Education and Experience:

  • High school diploma or GED equivalent required; Bachelor's degree preferred

  • Northwestern alumna/us preferred

  • Related experience preferred

  • Continually nurture a personal relationship with Jesus Christ; serve as a consistent witness for Jesus Christ; maintain a kind, Christ-like attitude in dealing with and ministering to people within and outside of Northwestern; and faithfully uphold and embrace Northwestern's mission, doctrinal statement, and Declaration of Christian Community.

Knowledge, Skills and Abilities:

  • Ability to interact with a variety of individuals in a professional, courteous and tactful manner

  • Ability to oversee student volunteers and employees

  • Ability to work in an organized, detailed fashion

  • Ability to work effectively in a fast-paced environment with many distractions

  • Ability to complete projects by predetermined deadlines

  • Excellent phone and person-to-person customer service skills

  • Experience with entire Microsoft Office Suite, including Outlook

  • Excellent verbal and written communication skills

  • Ability to pass a background check upon hire and periodically throughout the course of employment
