Description
Position Title: Campus Event and Ambassador Coordinator
Department: Admissions
Reports to: Director of Admissions
FLSA Classification: Exempt
Hours per week: Minimum Of 40 Hours per week
Position Summary: This individual will work with key Admissions staff to design and implement the Seminary's campus and site visitation program, as well as work with prospective and current students, administration, faculty and staff to ensure that all Admissions guests receive a high-quality experience while at Asbury Seminary. This person will also perform all functions necessary to cultivate relationships with students with the goal of moving them from inquiry to matriculation into the Seminary. This is a results-oriented position requiring the delicate balance between goal achievement and ministering to students as they discern and develop their call.
ESSENTIAL FUNCTIONS:
Event Coordination and Enrollment Advising
Develop all aspects of the campus visit and tour program to provide the highest quality experience possible, ensuring that all communication is handled accurately, securely, and professionally
Design and implement the events segment of the Seminary's strategic enrollment plan. In coordination with the Associate Director and/or Director of Admissions coordinate schedules to involve administrators, faculty, and staff campus-wide for participation in and support of these events
Have the ability to lead all aspects of a student visit independently
Recruit individual students on campus or at conferences and events as needed
Devise a specific strategy for the many campus visit opportunities at Asbury Seminary, such as Experience Asbury Days, as well as create new visitation experiences uniquely geared toward counseling students, women in ministry, church planting and more
Manage and organize campus visit schedules including communication with current students, faculty and alumni
Manage and recruit appropriate staff and faculty for campus visitation events
Compile and track data and event outcomes for assessment and reporting purposes
Provide weekly visit reports to the Associate Director of Admissions
Operate within the highest ethical standards and integrity in all aspects of the position; maintain ethical practice and keep all information about candidates confidential; assist all interested parties regardless of race, gender, denomination, etc.
Work interdependently with a team, assisting students in the admissions process
Effectively strengthen relationships with alumni and other key constituents
Exhibit intuitiveness and the ability to adapt to change. Due to the nature of this position, the ability to acclimate quickly to a variety of situations and audiences and the ability to think is a must
Recruitment and travel as needed
Materials and Hospitality
Work with Associate Director and/Director of Admissions to order and stock SWAG and apparel items
Coordinate with Associate Director of Admissions to keep SWAG inventory
Order and inventory hospitality supplies and items for daily and event related hospitality needs on the Wilmore campus
Alumni Ambassador Program
Implement a strategy for alumni to serve as ambassadors at conferences and events
Curate an Alumni Ambassador list
Train Alumni Ambassadors
Train and equip Alumni Ambassadors including providing Zoom or in-person training events, mailing recruitment boxes and SWAG, etc.
Applicant Counseling
Work with students and facilitate communication as they discern their call and degree choice
Maintain appropriate print, electronic and verbal communication with inquired, applied, admitted and confirmed individuals
Primary Goals
Increase the number of individual and group on-campus visits
Cultivate relationships with prospective and current students, and Seminary constituents
Increase the number of prospective students and current students
Provide clear and concise information to students
Plan and implement phone and virtual activities that support the enrollment efforts of EMT
Other Responsibilities
Able to work evenings and weekends during peak seasons
Able to lift up to 50 pounds on a regular basis
Submit receipts in a timely and efficient manner
Licensed driver with a clean driving record and background check
Other duties as assigned
Education/Certification/Training/Experience
Bachelor's degree required
Excellent communications, organizational and interpersonal skills
Event planning or office experience preferred
Experience working with diverse populations
Ability to work independently and as a team
Must possess personality traits of honesty and intuitiveness, and be organized, detail-oriented, friendly, and adaptable
Personal integrity and ability to maintain confidential information
A faith in Jesus Christ as personal Lord and Savior that can be adequately articulated
