The Campus Coordinator will interface with prospective students and provide valuable administrative and coordination support to the campus Operations and Academics. This position is responsible for maintaining compliance related to all admissions documents for new student applicants, including reviewing and processing files of new student applicants for completeness; and tracking new student transcript requests for evaluation.

Hours include shifts: Monday thru Friday 9am to 6pm and 10am to 7pm, plus rotating Saturday's 9am to 1pm

Hours - 40 hour work week. Shifts are typically a mix of 9am to 6pm and 10 to 7 pm possible Saturday's from time to time

Essential Duties:

  • Greets visitors, current and prospective students and faculty. Refers prospective students to Admissions Officers. Assists current students in meeting with appropriate operations or academic staff.

  • Enters data including student inquiries and applications into the Admissions Information System.

  • Reviews files of new student applicants for completeness, scans completed files and submits them to the Records office. Admits and matriculates prospective students and follows up with the Admissions Officers.

  • Processes new student transcript requests, submits transcripts to Central Transcript (TRF) Team, and conducts follow-up with institutions as necessary until official transcripts have been received.

  • Prepares external correspondence, including certification of enrollment and award letters as requested.

  • Calls inquiries, prospective students, new and continuing students as directed.

  • Reviews admissions reports/checklists with Campus Director to include timeliness of documents.

  • Provides assistance to the Campus Director, Admissions Manager, Admissions Officers, Business Office and Academics as required.

  • Maintains employment documents as required by the State.

  • Ensures the class schedule is entered in the system and posted at the classrooms. Confirms that classes have a room, day, time and professor assigned via guidance from the Campus Dean.

  • Enters and updates campus class attendance as needed.

  • Operates campus switchboard and inbox; receives incoming calls and emails and transfers them to appropriate staff members.

  • Reviews inventory, orders office/kitchen supplies, and ensures campus is organized.

  • Collects and distributes incoming mail.

  • Ensures accuracy and timeliness of ABOA students' information. Does appropriate follow ups

  • Completes role specific training.

  • Week-end and evening hours are required.

  • Other duties as assigned.

  • Annual performance evaluation to be conducted jointly by Campus Dean and Director.

Education:

  • Two years of college is required.

  • None

Work Experience:

  • At least one year of administrative or coordinator experience is required.

Skills:

  • Possess excellent organizational, interpersonal, and customer service skills.

  • Be detail-oriented and self-motivated.

  • Must have strong computer skills (Excel, Outlook, PowerPoint, Word, etc.).

  • Ability to work in a fast-paced environment.

  • Excellent oral and written communication skills.

Essential Functions: PRIOR TO CONTRACT PHASE * Prospecting new customers leads for the sales team. * Prepares sales presentations and proposals. * Provides product, promotion, and pricing information by clarifying customer request; selecting appropriate information; forwarding information; answering questions. * Coordinates and enters requests for charting or assists with the charting function * Coordinates and enters request for conceptual (sample) art for the AE's. * Maintains customer database or CRM by inputting customer profile and updates; preparing and distributing reports. * Tracks sales expenses by tracking, consolidating, analyzing, and summarizing expenses; forwarding for reimbursement. * Updates job knowledge by participating in educational opportunities. POST CONTRACT PHASE * Coordinating and monitor the ongoing activities and internal communications related to advertising campaigns to ensure on-time and contractual campaign execution while delivering excellent customer. * Informing Account Executives and customers about the current status of advertising campaigns. * Coordinating, managing, reviewing campaign progress and delivering the customer installation and proof of performance information. * Coordinate and/or obtain approval from the client on artwork * Coordinate and communicate panel locations in "to be determined" situations. * Resolves problems during campaign by investigating; identifying solutions; notifying AE's, managers and customers. KNOWLEDGE, SKILLS, AND ABILITY REQUIREMENTS •Work requires an excellent command of the English language. * Proficient in Microsoft Office and Gmail applications * Must have high level of interpersonal skills to handle sensitive and confidential situations. * Position continually requires demonstrated poise, tact and diplomacy * Ability to timely and accurately enter and compile data * Energy, enthusiasm, and the ability to meet deadlines * High level of organizational skills, and excellent attention to detail. * Creativity, initiative combined with commercial awareness. * Knowledge of common public relations practices * Strong written (Email) and verbal communication skills * Highly organized with a systematic approach to detail-oriented work * Comfortable working in a deadline driven environment * Ability to work independently and act on own initiative * Problem solving EDUCATION AND EXPERIENCE REQUIREMENTS •High school diploma or equivalent required * Bachelor's degree preferred * 2 years of related experience, preferably in sales, marketing, or administrative roles * Experience in data management and Gmail preferred * Or an equivalent combination of education and experience PHYSICAL DEMANDS AND WORK ENVIRONMENT •The primary work environment is an office. * The specific physical demands/requirements of the job include: lifting less than 25% of the time, reading, color distinction, acuity, sitting greater than 50% of the time, and talking. * The typical percentage of time spent traveling and spending nights away from home is less than 10%.
