Purpose of the Position:

Provide dedicated support to BWSI Financial Advisors (primarily FAIII). Demonstrate exemplary customer service for new and existing client relationships by supporting their account needs. Effectively communicate with advisors and clients to prepare pre and post routine client meeting tasks. Efficiently process client requests, resolve inquiries, and assist in maintaining essential information and documentation for client profiles. Provides administrative support such as maintaining client account information and maintenance within Redtail CRM. Enhance operational efficiency and compliance with a consistent, proactive, and error-free approach. Acts as the liaison between the client and processing teams, ensuring client satisfaction and retention through timely follow-up and resolution. This role is a client-focused position but requires successfully working with internal partners and leveraging internal resources.

Key Accountabilities:

Client Support:

  • Assists Financial Advisors in preparing financial plans, completing administrative tasks.

  • Prepare and summarize client meetings by scheduling and confirming meetings building agenda as needed.

  • Prepare and process routine client correspondence,

  • Image client documents into Redtail imaging.

  • Image required workflow documentation accurately and in a timely manner. Will be held accountable for errors that lead to compliance/regulatory/and audit concerns.

  • At the direction of the Financial Advisor, secures customer's signature for client or prospect documentation when Financial Advisor is unavailable.

  • Assists Financial Advisors in calling clients, vendors, insurance companies, exceptions, as well as scheduling past annual reviews

  • Prepares and coordinates client communication for new client onboarding and existing clients.

  • Ensures Financial Advisor books and records compliance with regulations, BWSI policies, and procedures.

  • Serves as the subject matter expert on BWSI paperwork documentation and requirements.

  • Meets and maintains established RIA (access person) requirements.

  • May be required to schedule annual reviews, Required Minimum Distributions, and appointments.

Financial Services Support:

  • As needed, will complete process for new accounts before sending to new account opening que. Prepares required documentation and maintains tickler files on incomplete new account documentation.

  • Completes various client transactions at the Advisor's request to include wire transfer requests, account maintenance, stop payments, fund transfers, and check re-ordering.

  • Research client and prospects inquiries and initiate any research that may be required.

  • Investigates and quickly resolves errors and operating problems that affect clients' services.

  • Reports operations problems and makes recommendations for their solutions.

  • Create profiles in Redtail for prospects and clients

  • Create workflows for new applications

  • Create DocuSign envelopes for new account applications and service/maintenance docs for existing clients

  • Input financial planning data into financial planning software

  • Contact RIA custodian to resolve account discrepancies/research requests on behalf of the Advisor

  • Track new insurance applications submitted through the issuance of policy date.

  • Prepare for and coordinate marketing compliance documentation.

General Duties and Associate Support:

  • Prepare and ensure new business paperwork is successfully submitted, including preparing forms, obtaining appropriate signatures, preparing to document before submission to send to compliance queue

  • Performs general office function Types correspondence and memorandums

  • Perform administrative duties that support financial Advisor with daily business practices and process

  • Assists Financial Advisors with timely data entry for reports and contacts customers when necessary

  • Assists Financial Advisors with maintaining and updating information in Redtail CRM System. by creating profiles, updating client information, creating, and tracking appointments, and sending referrals to other business partners.

  • Maintains and provides sales tracking reports through Redtail CRM System as needed

  • Assists with operational and compliance projects and attend project/operational committee meetings as needed

  • May assist in and help coordinate BWSI events

  • Perform other duties as assigned.

Competencies and Skills:

  • Excellent interpersonal, verbal, writing, math and grammar skills.

  • Strong organization and time management skills and ability to work independently with minimal supervision.

Work Experience Requirements:

  • 5+ years administrative experience in a financial institution covering a variety of duties including contact with high net worth clients.

  • Demonstrated exemplary customer service skills to high net worth clients.

  • Extensive knowledge in financial service industry and a broad understanding of operational processes.

  • Knowledge of investment regulations and compliance.

  • Knowledge of TD Ameritrade platform, Money Guide Pro and Redtail CRM system is a plus.

  • Bilingual in English/Spanish is preferred.

Education Requirements:

  • High School diploma or GED.

Other Qualifications:

  • Strong PC proficiency with Microsoft Office products; spreadsheet, word processing, presentation software and Outlook.

  • Type 60 wpm.

Other Requirements:

  • Professional Development courses to work towards obtaining appropriate license.
