Job Description
The Pierre Laclede Honors College seeks an enthusiastic, highly organized, and detail-oriented Senior Business Support Specialist to perform a broad range of activities supporting the operations of the College and directly assisting its students, faculty, and staff. This individual will be the primary administrative support of the College and will supervise a part-time staff member as well as students assigned to our main office. Candidates should be comfortable working on multiple tasks in a fast-paced, student-oriented environment. This position will often be the first point of contact with the Honors College, and positively reflecting the values of the College as an inclusive and supportive community is essential.
Characteristic duties:
General:
Coordinate reception for the Honors College in Provincial House
Provide general assistance and support to students, faculty, staff, administrators, and guests
Coordinate building space usage and upkeep (kitchen, Common Room, libraries, main hallways, computer lab, storage rooms)
Submit College maintenance requests; submit College IT requests
Provide oversight for deliveries, mail distribution, copy/scan requests, parking pass distribution, keys and swipe card access
Supervisory:
Supervise student employees in the office and computer lab; recruit, train and schedule student workers
Supervise part-time office support staff
Fiscal:
Assist with the planning and entry of the budget for upcoming fiscal year
Maintain spreadsheets to track expenditures
Assist administrators, faculty, and staff with financial processes such as One Card and travel reconciliation, expense reimbursements, and transfer pay between units
Maintain supply records and order supplies for the College
HR:
Coordinate with HR and/or other business support offices on creating hiring and other personnel forms, faculty confirmation letters, employee on-boarding and other processes related to hiring and compensation
Monitor time sheets and other processes necessary for bi-weekly payments of staff and student workers
Monitor payroll information for errors in monthly and bi-weekly faculty, administrators, and staff
Support for faculty, administration:
Assign offices to part-time instructors and maintain office functionality (phone, computer, supplies, etc.)
Provide assistance with classrooms, offices, and other needs
Coordinate ordering of textbook and desk copies
Prepare and post course descriptions document each semester; assist the Associate Dean with entering class schedule details in the online platform CLSS
Download all course evaluations each semester and share visiting faculty forms with their Chairs
Prepare and post minutes of College staff meetings
Advising, registration, admissions
Provide registration/advising assistance for faculty and staff advisors, including enrollments, withdrawals, schedule changes, registering students for classes, and recording advising notes in the online platform MyConnect
Correspond with students about holds, missing pre-requisites and other registration issues
Prepare mailings such as Honors Certificates, warning letters; create and post Dean's Lists
Assist College Recruiter with admissions tasks such as mailings or purchases as needed
Records management:
Collect syllabi for all classes each semester; collect all new faculty cvs
Maintain various student records; maintain electronic writing program portfolios
Maintain College data; work with Dean on data management
Maintain Student Groups designating Honors status in the online system My View
Website and communications:
Assist with supervising and maintaining College webpage and Honors College Handbook
Maintain College Canvas sites for various groups of students, faculty and staff
Event planning:
Coordinate and/or assist with planning for events such as Honors Orientation, Graduation reception, and Opportunity Scholarship Program Interview Day and Reception
Place catering requests and reserve event spaces
Oversee development of event flyers on CanvaPro
Create sign-ups for events on the UMSL event platform, Triton Connect
Other duties as assigned by the Dean or 00.Associate Dean

8am - 4:30pm, M-F
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
Experience in an administrative support role
Work experience in higher education, particularly with an Honors College or program
Anticipated Hiring Range
Pay commensurate with education and experience.
Hiring Range: $18.50 - $23.00 hourly
Grade: GGS-008
