Job Description
The position's function is to assist in department administration and handle routine administrative decisions. You'll be the go-to source for dependable information for department administrators, all while being agile and ready to support the department's systematic growth.
Key Responsibilities:
Takes initiative and uses independent judgment to handle routine matters for administrators
Answers phones and greets visitors for the department
Arrange and coordinate meetings and schedule appointments
Prepares various documents, including correspondence, reports, and emails, ensuring accuracy and professionalism
Develops and oversees the maintenance of office filing systems. Maintains complex and confidential files for administrators
Assists in preparing departmental budgets by gathering and compiling information and making recommendations. Maintains department finances (including reconciling, payroll, scholarships, endowments, purchasing, etc.)
Prepares and processes all appointment papers, payroll, and additional HR processes (PAF, additional pay, summer compensation, time approver)
Prepares and processes department purchases (e.g., office supplies) using One Card, eProcurement, and travel expense reports
Works with vendors to purchase and maintain normal function of office equipment (e.g., printers and copy machines)
Assists students, faculty, and other staff members as necessary
Creates program flyers and promotional materials for recruitment purposes and ensures information is posted and updated on the department website
Maintains a high level of responsiveness to partnered universities and corporations
Directly assists the department chair with matters concerning the department
Performs additional job-related duties and special projects as assigned
Minimum Qualifications
An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Anticipated Hiring Range
The anticipated hiring range for this position has been established as $16.82 - $22.24/hourly.
Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
