Job Description

This position is for a Business Support Professional (BSP - also known as an administrative assistant) in the Energy Conversion and Storage Systems Center (ECaSS) within the Hybrid Energy Systems Group of the National Renewable Energy Laboratory (NREL). The BSP will be the primary administrative point of contact for a group of individuals and the group manager.

The Hybrid Energy Systems groupworks to advance the research, integration, and demonstration of thermal, mechanical, wind, solar, battery and other storage technologies as well their end uses in mobility, buildings, and industrial processes involving the orchestration of 1000s of edge devices at individual, local, regional, to national scales. In this pursuit we work closely with the U.S.

Department of Energy (DOE), industry partners, and academic institutions. The group's work involves the development of modeling, simulation, emulation, control, and optimization approaches for various combinations of energy generation and end use applications while considering equitable clean energy transition.

This career opportunity involves both routine business support assignments and non-routine or special assignments. Tasks include managing documentation flow, assisting or executing staff travel arrangements, calendar management, managing purchases, assisting with the publication process, supporting meetings, workshops, visitor tours and events (including scheduling, room set-up, site access, security arrangements, webinars, catering, audio visual set-up, meeting materials, etc.). The BSP should be comfortable using multiple online electronic systems for finance, purchasing, travel, etc.

The position requires a willingness to work as a team with other business support professionals, as well as assist lab-wide when needed. The position requires attention to detail, diplomacy, and the ability to juggle multiple projects at once.

The selected applicant will display a positive, team-oriented attitude, outstanding administration skills, ability to prioritize work, and excellent written and verbal communication skills. The ideal candidate will have exceptional team and interpersonal skills. Confidentiality, diplomacy, and a respect for protocol are needed for this position. The incumbent shall develop and maintain administrative, financial and record systems, and execute business support functions with some oversight, but at times will be required to execute tasks on their own with minimal supervision.

Tasks include but are not limited to the following:

  • Support day-to-day activities for the Group Manager, task leaders and group researchers

  • Act as a resource to staff on institutional processes, procedures, and requirements

  • Proactively manage and/or monitor multiple tasks and information for the group: calendars, meetings, conference and workshop logistics, travel arrangements, visitors, vendors, supplies, mail, records, training, publications, and the distribution and flow of information

  • Work cooperatively with other administrative staff on group tasks, activities, and events

  • Help with travel authorization and travel expense reports for NREL staff using Concur

  • Help with on-boarding new employees and interns and obtaining site access for subcontractors, stakeholders and visitors

  • Coordinating interview logistics for potential new hires

  • Contribute to Center-wide tasks as appropriate

  • Excellent computer skills on Mac and/or PC platforms, including but not limited to proficiency with Microsoft Office components (Outlook, Word, Excel, and PowerPoint)

  • Demonstrated ability to multitask in an office environment where there are frequent interruptions and continually shifting priorities, with a knack for getting things done with attention to detail in such an environment

  • Demonstrated ability to work proactively and take initiative as needed in non-routine situations

  • Ability to make decisions independently, within the authority of the position, seeking input only as needed when decisions will involve others

  • Aptitude for quickly learning new skills, new processes, and unfamiliar business software systems with complicated user interfaces

  • Exhibits a positive, "how can I help," can-do attitude

Basic Qualifications

High School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope or equivalent relevant education/experience.

Solid knowledge of the job. Substantial understanding of general aspects of the job with a broad understanding of the detailed aspects of the job. Intermediate skills in applicable software packages and office equipment.

Basic project administration skills. Ability to prioritize work. Proficient in written and verbal communications. Very good team and interpersonal skills.

Annual Salary Range (based on full-time 40 hours per week)

Job Profile: Business Support II / Annual Salary Range: $42,700 - $68,300

NREL takes into consideration a candidate's education, training, and experience, expected quality and quantity of work, required travel (if any), external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees.
