The Physician Practice Business Office Supervisor is responsible for monitoring the functions of the Billing Coordinator and Coders for all practices under the auspice of physician services and overseeing the Oncology/Radiation Clinics at Havasu Regional Medical Center. This position has the responsibility of reporting incidents, patient and/or employee issues, work related accidents, and any other unusual events to the Director of Physician Practices. The Business Services Supervisor ensures staffing requirements are met in the areas of supervision.

Essential Functions

To perform this job, an individual must perform each essential function satisfactorily with or without a reasonable accommodation.

Monitors all business functions and quality control on patients' accounts; coordinates with credit and collection staff the evaluation of patients' insurance coverage and determines whether the patients' benefits are exhausted.

Implements appropriate billing and collection procedures ensuring that the outpatient accounts receivable records are kept in accordance with established procedures; maintains appropriate internal controls over accounts receivable and cash receipt functions; provides for thorough follow-through and resolution of complaints or problems received from patients, staff, other departments, administration, or medical staff.

Assists with developing specific departmental goals, standards, and objectives which directly support the strategic plan and vision of the organization. Ensures maximum employee and departmental performance by conducting on-going analysis and providing appropriate training and developmental opportunities. Review a variety of reports on a daily basis to ensure staff are productive and to ensure any problems are resolved quickly.

Manages staff relations including performance management, staff satisfaction, and conflict management.

Performs and oversees scheduling, staff development, recruitment, payroll, and student engagements.

Monitors regulatory compliance, departmental contracts, and vendor relations. Helps develop, maintain, and adhere to the annual departmental budget. Prepare departmental schedule to ensure appropriate staffing levels at all times while remaining within budget guidelines.

Provides validation, reviews, audits, documentation and training for the area of knowledge, sharing information with finance, medical records and other revenue producing area or departments. Supports special projects and business analysis as requested.

Creates and fosters an environment that encourages professional growth. Maintains own professional growth through appropriate organizations, workshops, seminars and other self-directed education

Ensures timely and complete billing and collections by monitoring and developing the subordinate staff to provide the highest level of service and performance, and maintains on-going positive communications with patient, staff, physicians, and other third parties to provide information or resolve issues

Responsible for supervising the daily activities and functions of the billing and coding for physician practices and assigned ancillary service lines, including Clinical Documentation Improvement Accurately codes diagnoses and procedures on Outpatient accounts according to ICD-10-CM and CPT-4 principles and conventions as well as hospital and corporate coding policies.

Engages in and supervises the explanation of Hospital policy regarding patient accounts. Responsible for supervising the daily activities and functions of the billing and coding for physician practices, including the Clinical Documentation Improvement Specialist.

Assists with resolving billing edits pertaining to modifier/charge issues. Responsible for accurately coding and will code according to ICD-10-CM and CPT principles and conventions as well as Hospital and Corporate coding policies. Performs other duties as assigned.

Minimum Education

High School or GED equivalent

Required Skills:

Must have strong interpersonal, oral and written communication skills. Effective human relations skills are required for interfacing with team members, all levels of staff, physicians, patients, families and other contacts.

Must possess the ability to effectively function in a stressful environment. Must possess the ability to use the following equipment; Telephone/Overhead Paging System/Fax Machine/Calculator/Computer. As pertinent to the position, must be able to use computer, telephone, calculator and adapt to new technology as it becomes available and necessary for the job.

Must be detail-oriented; able to organize and prioritize work schedule to meet deadlines. Must be self-directed and motivated to achieve successful outcomes. Must be able to follow established procedures.

Must have knowledge of all types of coding. Must have strong interpersonal, oral and written communication skills. Effective human relations skills are required for interfacing with team members, all levels of staff, physicians other contacts.

Must possess strong computer skills and be able to adapt to new technology as it becomes available and necessary for the job.

Through concurrent interaction with physicians, case managers, coders and other health care team members, the Clinical Documentation Specialist, will strive to ensure comprehensive medical record documentation that reflects the clinical treatment, decisions, and diagnosis for all inpatients. Serving as a resource to all members of the health care team on documentation guidelines, this position will provide guidance and support, as well as assist with education and training related to improving clinical documentation. Conducts daily reviews of inpatient medical records to identify missing, vague, and/or incomplete diagnoses and procedures. Conducts timely follow-up reviews of clinical documentation to ensure that issues discussed and queries left in the medical record have been answered by the provider. Utilizes coding and clinical expertise to identify opportunities and ensure the accuracy and completeness of clinical documentation used for measuring and reporting physician and hospital outcomes. Queries physicians on specificity of procedures performed and diagnoses based on accepted coding guidelines, clinical expertise and LifePoint Hospitals query policy. Tracks and trends specific opportunities for CDI process improvement through the utilization of metrics reports. Conducts educational sessions with physicians and other health care team members on documentation requirements. Prepares and presents educational programs to all internal constituents related to clinical documentation issues and coordinates same with clinical staff, physicians, compliance and coding staff. Makes regular reports of progress toward goals associated with clinical documentation improvement opportunities and operational improvement plans. Assumes responsibilities for following compliance guidelines with federal, state, and local regulations within the department. Non-Essential Functions Acts as a strong advocate of the CDI program while educating physician, clinical, and other staff on the importance of clinically accurate documentation and the capture of data through ICD-10 coding. Demonstrates understanding of the importance of non-leading queries and communications with providers. Conducts CDI on-boarding education of all new admitting physicians as part of the hospitals orientation program. Reviews clinical issues and identified query response concerns with physician champion/advisors. Stays current with requirements of CMS Inpatient Prospective Payment Systems (IPPS), AHA Coding Clinic and Official Guidelines for Coding and Reporting related to ICD-10. Works closely with case management, quality management, risk/compliance management, and medical staff to provide data related to key clinical indicators and operational metrics. Works in conjunction with the Directors of Quality Improvement and Care Management, medical staff leadership and other health care disciplines to assure effective monitoring and successful completion of identified plans for improvement.
