The Development Services Department (DSD) assists homeowners, business owners, and contractors when they build, demolish, remodel or perform any type of construction to ensure compliance with applicable city and building codes.
This position will report directly to the DSD Assistant Director over Support Services and will be responsible for the Assistant Director's technical and/or high-profile specialized cases and projects.
This position will also include partnering with the Senior Leadership of each division to act as a resource to facilitate, coordinate and lead/co-lead various projects, such as, planning, drafting reports and communications, conducting research, and creating templates and revising policy procedures, performance measurement, change management and periodic assessment reviews for each division under the Support Services divisions.
This position will be responsible for attending meetings on behalf of the Assistant Director over Support Services and facilitating and handling time-sensitive requests, that may include confidential documents.
The position will act as an extension of the Support Services leadership team supporting the Department Director on initiatives and special projects.
This position will be the backup staff and responsible for DSD's organizational chart.
The position will also be responsible for handling Community Assistance Forms (CAFs) as assigned by the City Manager's Office (CMO) and Council and respond on behalf of the Director, and to work closely with CMO and other stakeholders to conduct research and resolve issues, and other assignments as deemed necessary by the Director and the Assistant Director over Support Services. Setting and assisting executive team member task. Preparing memos, letters and other correspondence using computer, spreadsheets, database, or presentation software.
This position will also include maintaining the Department Assistant Director's calendar, scheduling meetings, conferences, and events, plans travel.

Travel:
If you are selected for this position and meet the Driver Safety Standards in the City of Austin Driver Safety Program, you may drive when necessary to multiple locations as part of your regular job duties. Otherwise, you are responsible for getting to and from these locations.

This work can be done while at a designated work site or while working at an alternate work location. Critical employees who are able to work at an alternative work location are required to do so. Schedules may be modified, and employees may be reassigned to another area during extraordinary situations or emergency conditions to provide essential services.

Experience providing support to executive management to include drafting written communications on behalf of the executive, calendar and email management, scheduling and coordination of meetings.
Experience providing high-level customer service to city officials, department stakeholders & vendors, and staff reporting to executives.
Experience in project management, coordinating, facilitating, and managing complex & cross-functional project initiatives serving as a lead for department initiatives and special projects.
Proficient skills in Microsoft Word, Outlook, Excel, PowerPoint, and Visio.
Experience using AMANDA, Citizen Assistance Program (ACAP), and Legistar systems.
Experience writing reports and revising policy procedures; including advanced technical writing skills in proofreading for clarity and grammatical errors.
Ability to prioritize and manage competing demands in a fast-paced environment.
Strong skills in analysis research.

Duties, Functions and Responsibilities
